Provide high quality front desk for the residential properties. The Front Desk Associate pro-actively anticipates the needs of the customer so a solution can be offered before being requested, personalizing the delivery of the service to meet the specific needs of each customer, reminding the customer of scheduled events, etc., and protecting the customer from unnecessary or unwanted demands by others.
Essential Duties And Responsibilities
- Provide personalized front desk and hospitality-focused service to residents by assisting with deliveries, transportation coordination, reservations, and general requests to support a positive resident experience.
- Serve as the primary day-to-day point of contact for residents, homeowners, tenants, guests, and vendors by creating a welcoming environment and assisting with questions or concerns in a timely and professional manner.
- Manage building access by assisting guests, vendors, and contractors in accordance with established security procedures while maintaining resident privacy and community standards.
- Accept and process HOA assessment payments and violation payments accurately, following established procedures and maintaining proper documentation.
- Process new homeowner and tenant paperwork, including move-in and move-out coordination, and maintain accurate resident records and database information.
- Effectively multitask between assisting residents and visitors in person while managing a high-volume phone line, emails, and general front desk communications.
- Communicate resident feedback and service concerns to property management, assist with tracking amenity usage, and support community programs, meetings, or on-site events as directed.
- Maintain daily logs and documentation related to visitors, resident interactions, payments received, and operational activities to support accurate communication and recordkeeping.
- Maintain a professional demeanor and positive customer service approach while supporting daily front desk operations within a large-scale, high-traffic community environment.

Requirements
Knowledge, Skills and Experience:
- Demonstrates a positive attitude and professional demeanor while serving as a representative of the company and promoting a culture of professionalism among team members.
- Ability to apply practical judgment and common-sense understanding to carry out instructions provided in written, verbal, or diagram form.
- Capable of resolving problems involving multiple concrete variables in standardized situations.
- Ability to read, interpret, and follow operating procedures, manuals, and related documentation.
- Proficient in basic math functions including addition, subtraction, multiplication, and division.
- Strong communication, organizational, decision-making, and interpersonal skills.
- Detail-oriented with strong follow-through and accountability.
- Ability to multi-task, prioritize responsibilities, and perform effectively in a fast-paced environment.
- Exercises independent judgment to handle customer service matters in a professional and satisfactory manner.
- Proficient in electronic resources including internet research, Microsoft Outlook, and Microsoft Word.
Minimum Education
- Two years’ prior hospitality experience preferred
- Some higher education or vocational training specializing in the hospitality industry desired
- Good geographic knowledge of the surrounding area
Language Skills
The individual must have strong written and verbal communication skills in order to communicate effectively with employees and clients at all levels of the organization.
Availability
Regular business hours and overtime as needed.
Work Environment
The front desk works in a well-lighted, clean environment. S/he constantly interacts with other people and may have to handle several responsibilities at once. The Association maintains a smoke-free environment in its offices, buildings, and Clubhouse complex.
