Job Description
TheFront Desk Administrative Receptionist is the front line for homeowners, Board of Directors, guests, vendors, and contractors. This is a receptionist and administrative support role to the Community Association Managers, Senior Supervising Manager, and Maintenance Supervisor.
Daily responsibilities:
- Meet and greethomeowners, Board of Directors, guests, vendors, and contractors.
- Answer and direct calls; manage emails; enter and update data in the data base.
- Research and respond to inquiries in-person, by phone and email.
- Receive incoming and outgoing mail and packages; sort and distribute.
- Manage and update the office calendar.
- Create and send out correspondence, meeting notices and agendas via internal software to homeowners, Board of Directors, and internal staff.
- Issue pool passes, parking passes and key FOBs.
- Receive monthly payments, prepare check requests, set up vendors in the system, and manage vendor payments.
- Manage Work Order Requests in system, update and close.
- Other duties as assigned.
Requirements
- 2+ years of Front Desk Reception and Administrative experience.
- Customer service driven, team oriented, proactive, and attention to detail.
- Professional communication skills (written and spoken); well versed in Word and Excel.
- Knowledge of typical business correspondence (grammar, structure, punctuation, spelling, etc.) at a proficient level.
- Ability to communicate with multiple stakeholders, for example community managers, vendors, peers, clients.
- Able to work effectively with others in person and in group setting.
- Able to prioritize, manage time, and meet deadlines.
- Able to interpret verbal and/or written instructions at a proficient level.
- High School Diploma or GED Required.
