Summary: The Financial Services Specialist reports to the General Manager of the community and is responsible for processing invoices, conducting monthly reports in preparation for financial statements, and set up bank signature forms for new and existing Board Members.

Essential Job Duties and Responsibilities:

  • Reviews, codes, scans, and transmits invoices and distributes to Directors and Managers for approval.
  • Reviews and codes invoices in Strongroom before approval.
  • Handles all vendor inquiries and disputes.
  • Generates Wire Transfer Authorization Forms to various vendors and transmits them for processing.
  • Uploads vendor statements for ACH payments and codes and posts ACH invoices as paid in Strongroom.
  • Copies the Association Controller on all outgoing wires and general ledger postings.
  • Obtains and handles all documents for new vendors and expired documents for Non-Verified or Unverified vendors.
  • Maintains Certificates of Deposit spreadsheet for several corporations.
  • Generates Cash Flow reports for accounts using current general ledger balances and listing all upcoming projects per Board’s request.
  • Prepares Investment Authorization forms for maturing CD’s and obtains Board’s signatures.
  • Transmits signed investment forms for processing and Corporate Accounting for posting.
  • Provides the following reconciled monthly reports to corporate accountant for the preparation of monthly financial statements, monthly cash deposits for Clubhouse and HOA services and emergency monitoring system equipment inventory. Reviews monthly financials and sends request to corporate to adjust accruals.
  • Generates Income/Expense Accounts YTD Variances Report and Summarized Financial Statements Report.
  • Monitors entries posted to GL.
  • Prepares Bank Signature Forms for new and existing Board Members to sign after Annual Election.
  • Mails completed and signed original forms to the Bank and sends information to Corporate Accounting.

 

Qualification Requirements:

  • Ability to multitask.
  • Strong attention to detail.
  • Strong written and verbal communication skills.
  • Ability to work well under pressure.
  • Proficient in Microsoft Suite Programs.
  • Strong efficiency in Excel.
  • Excellent interpersonal skills.

 

Education and/or Experience:

  • A minimum of 2 years of experience working in an Accounting related role.
  • High School Diploma or GED required.
