JOB SUMMARY

 

The Executive Assistant role requires someone who is well-spoken, customer-service oriented, and can multi-task at a quick pace. This role will perform a range of administrative tasks and provide personalized and timely support to the company’s CFO and Executive Suite. Administrative tasks include greeting and directing visitors, professional phone answering, managing calendars, handling mail, scheduling meetings, travel booking, expense reporting, event planning, purchasing and office upkeep, supporting the Executive Suite, and drafting professional communications.

Job Duties & Responsibilities

 

  • Schedules and manages calendars.
  • Books flights, transportation, and accommodations.
  • Prepares monthly expense reports.
  • Drafts correspondence relating to the Executive Suite.
  • Builds culture and connectivity within the team and through the Family Spirit Committee.
  • Proactively pursues innovation for the team through new tools and learning.
  • Handles office supply ordering, copy room printer maintenance, and mail distribution.
  • Processes print jobs, scanning and faxing when needed.
  • Receives and addresses incoming customer service calls.
  • Establishes a high level of professionalism when dealing with customers and employees.
  • Purposeful in making an impact within the communities we serve.

 

Requirements

 

EXPERIENCE, KNOWLEDGE & SKILLS

 

  • Successful candidates for this role are growth-oriented, proactive, people-oriented, and decisive.
  • A high school diploma is required. Bachelor’s or associate degree a plus.
  • 3-5 years of experience working as an Executive Assistant or within a similar role a must.
  • Proven knowledge of Microsoft Office products (Word, Excel, Outlook, etc.).
  • Proficient at editing and enhancing PowerPoint presentations.
  • Knowledge of typical business correspondence and professional communication (grammar, structure, punctuation, spelling, etc.) at an expert level.
  • Familiarity with office equipment and applications.
  • Excellent communication and interpersonal skills.
  • Discretion and confidentiality.
