BACKCOUNTRY EXECUTIVE ADMINISTRATOR POSITION FULL TIME

Executive Administrator Responsibilities:

The Executive Administrator is responsible for supporting the General Manager and residents primarily, but will also interact with vendors, Board members and committee members as well as staff at the Associa Client Shared Service Center (CSSC) and within the branch office. The Executive Administrator will also assist the General Manager with administrative oversight and support of the common facilities of the Sundial House and Discovery Center.

ESSENTIAL DUTIES:

  • Administrative duties to support the General Manager and Assistant General Manager to include calendar oversight and contract management.
  • The details count. Double check every communication and manage the community website, always checking for accuracy.
  • Oversee the activities, vendor use and owner use within the Sundial House and Discovery Center buildings during business hours.
  • Organization is a priority; jump in and help organize all aspects of business including meetings, capital projects, storage areas, and everything a resident sees.
  • Oversight of Front Desk concierge staff, and customer service expectations.
  • Assist General Manager and Assistant General Manager with implementation of Board policy and directives within the scope of the management agreement.
  • Acts as lead staff liaison to the Sundial House Team.
  • Assist with employee hiring, training, supervising, and performance management.
  • Assist with preparing schedules and establishes priorities for routine and special work projects.
  • Assist with annual budgeting process and with the administration of the various functions of the community within the projected and approved operating budget.
  • Serve as the face of Associa management when General Manager or Assistant General Manager is not available.
  • Customer Service standards will be set by General Manager and executed by Executive Administrator.
  • Receive and respond to incoming calls/emails for information, account requests or community issues timely.
  • Maintain the online communication portal and document uploads and resolve resident requests timely.
  • Maintain working knowledge of internal systems.
  • Coordinate work orders with vendors.
  • Other duties as assigned.

ADMINISTRATIVE DUTIES:

  • At the direction of the Community Manager, may participate in Community Information Meetings, Annual Meetings, Budget Meetings, Board of Directors Meetings, Committee Meetings, New Owner Orientations, Staff Meetings and Special Meetings as requested.
  • Creating and maintaining community and team calendars to stay abreast of meetings, special events, property inspections, projects and other deadlines.
  • Ability to write memos to the Board of Directors.

Requirements

SKILLS:

  • High level of people skills; you remember Owner’s names, their family members, and can chat up anyone that walks in the door.
  • Excellent verbal and written communications skills.
  • Creative thinking and efficient problem solving.
  • Ability to deal with a large variety of individuals in a business-like and professional manner.
  • Excellent organizational skills with the ability to prioritize tasks and handle many tasks at the same time.
  • Ability to stay on task amidst frequent interruptions.

EQUIPMENT:

  • Proficiency in use of computer, copier, fax machine, scanner, and telephone systems.
  • Proficiency in various software applications to include Microsoft Office and online communication platforms.

EDUCATION AND EXPERIENCE:

  • High school diploma or equivalent; College Degree preferred.
  • Candidates should have a minimum of two years in a customer-facing service position and experience with administrative and organizational skills.

Compensation:

  • $50,000-$56,000; direct experience highly considered.
