Responsibilities

Essential Functions

  • Assist homeowners with making payments, submitting ACCs, requesting pool cards and other general inquiries as a member of the Customer Service team
  • Answer telephone, screen and direct calls to the correct personnel
  • Take and relay messages in a timely fashion
  • Provide helpful information to callers
  • Assist in greeting and assisting persons entering facility
  • Assist in front desk coverage and as fill-in as necessary.
  • Maintain Fort Worth Community Websites by uploading Board Updates, Board Meeting Packets, Meeting Minutes, Management Reports, Governing Documents, etc.
  • Assist the Management Team in creating Annual Meeting and Board Meeting Notices
  • Coordinate Board and Annual Meeting Reservations
  • Prepare copies for board and annual meetings
  • Ensure all upcoming meetings are scheduled on the Meeting Calendar to ensure the meeting calendar is up-to-date and organized.
  • Coordinate community wide-mailings
  • Complete required reporting as directed
  • Assist in community inspections/drives as directed
  • Assist in generating community website posts as directed
  • Additional duties, as required or assigned

Executive Support

  • Coordinates all meetings for the Executive team and routine employee meetings, including preparing materials for meeting. Set up conference room with audio, visual and all conference call needs prior to meeting.Works closely and effectively with the
  • Executive team to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
  • Publishes internal communications to employees on behalf of the Executive team.
  • Manage Outlook Calendars, including personal calendars, for Executives.
  • Meet regularly with Executives to receive and provide updates to work assignments

Administrative

  • Provide support to Executive Team including maintaining calendars (professional and personal), making travel arrangements, and preparing expense reports.
  • Managers General Inquiries in the Vantaca System.

Qualifications

  • Associate degree preferred.
  • Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers.
  • Excellent computer proficiency (MS Office – Word, Excel and Power Point).
  • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service.
  • Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.

Pay and Benefits:

$50,000 to $55,000, depending on education and experience.
