Job Description

Position Purpose

  • Acts as a liaison between the Social or Activities Committee and the Board of Directors for the Homeowner’s Association.
  • Responsible for the planning and implementation of events for a Community of ages 55 and older.
  • Fulltime position in a fast paced, beautifully appointed clubhouse setting with resort style amenities.
  • Develop and manage community events such as outdoor concerts, dances, resident parties, fitness classes, educational seminars, etc for the residents.

Essential Functions

  • Publish monthly newsletter and correspond with advertisers.
  • Compile homeowner information for yearly directory.
  • Maintain and update Community Website or Intranet.
  • Oversee master calendar for monthly events, including clubhouse rentals and reservations.
  • Meet and greet new residents in order to distribute access cards or keys for amenities.
  • Maintain master list of residents’ addresses, phone numbers, and email addresses.
  • Attend monthly Social/Activities Meetings with Committee members.
  • Act as a point of contact for new and existing residents with regard to local events.
  • Facilitate and plan social activities for the community.
  • Locate and secure outside vendors to supply products needed for events.
  • Manage and maintain activities budget as determined by the Board of Directors.
  • Maintain detailed files and records on all activities planned and executed throughout the year – including financial details, outcome of the event, number of participants, and ways to improve the event in the future.
  • Brainstorm and create new activities for Community.
  • Promote and secure sponsorships to offset the cost of the events.
  • Oversee and advise all volunteers and/or paid employees assisting with activities.
  • Recruit new members for the Social/Activities Committee.
  • Manage the fitness center, deliveries to the fitness center, facility schedule and all routine or non-routine maintenance required.
  • Work with the food and beverage director, golf course staff, tennis pro, and other counterparts to ensure that events do not conflict with one another’s planned activities.
  • Act and serve as marketing contact for prospective buyers.
  • Field resident complaints and suggestions to help improve the Community.
  • Assist the Property Manager with routine tasks and fill in as needed in his/her absence.

Nature and Scope

  • Must possess excellent written and verbal communication skills.
  • Will be communicating with all levels of personnel, so clear and concise communication is a must.
  • Excellent customer service and organizational skills are required.
  • Must be detail-oriented and dependable, and consistently contribute as a team player.
  • Must be a self-starter and be able to work independently without supervision.
  • Must have strong multi-tasking skills and meet reasonable deadlines.
  • Must have a positive and professional appearance, attitude, and demeanor.
  • Position demands creative thinking, consistent accuracy, and a sense of urgency

Position Qualifications

  • Must be eighteen years of age or older.
  • Must pass the Background Check.
  • College Education - Bachelor's Degree , or combination of equivalent experience.
  • Experience in Field - A minimum of 2 years in Event Planning or related field. Hospitality experience a plus.
  • Strong Computer Skills - Proficiency in MS Word, MS Excel, MS Outlook.
  • Strong interpersonal skills and organizational skills are also required.

Job Type:Full-time

Salary:$55,000.00 - $75,000.00 per year

Environmental Job Requirements

  • Physical demands involve processing, lifting & moving incoming & outgoing boxes (25 to 30 pounds).
  • Lengthy periods of sitting, standing, bending, and stooping are required.
