Summary: The primary responsibility of the Director of New Project Development will be to maintain a positive working relationship with existing and potential developer clients and oversee the management of new communities from the forward planning process through the completion of turnover of all common area. This responsibility includes mentoring and oversight of the managers for all projects in New Development that have not yet turned over to a homeowner Board.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:

  • Maintenance of an account load during manager transitions.
  • Belief in company philosophies.
  • Exhibiting a positive attitude.
  • Adherence and enforcement of company guidelines, policies and procedures.
  • Client retention; Proactive account retention.
  • Oversee all first Annual Elections for new development properties.
  • Review and provide comments on first on-site Reserve Study and Annual Inspections.
  • Review of minutes, punch lists, board packets and any other mass mailings to ensure quality work is being produced and distributed.
  • Attendance at the first three (3) meetings for each account assigned to the managers being supervised.
  • One-on-one training of managers on issues specific to New Development, and coordinating with New Development Team on annual updates of training manuals and modules.
  • Consistent communication with clients to ensure satisfaction and quality service via telephone and meeting attendance.
  • Regular reporting on progress and/or problems with accounts, managers or other personnel.
  • Participation in special projects or programs including, but not limited to, board seminars, manager training/meetings and interviewing potential management candidates.
  • Preparing and conducting reviews of all personnel managed.
  • Attendance at monthly upper staff meeting, general staff meeting and core training sessions.
  • Participation in Friday in-office program to provide for emergency coverage.
  • Assisting with account allocations and communicating manager changes to the Board of Directors.
  • Interfacing with all inner office departments to achieve successful resolution for any issue requiring attention.
  • Monthly point person contact with each developer client representative, ensuring satisfaction.
  • Professional representation in the office and at industry related functions.
  • Bi-monthly New Development and Forward Planning Team meetings.
  • Practice and adhere to Keystone’s Core Values, Mission and Vision.
  • Any additional job duties as required by supervisor.

 

Forward Planning & New Project Set-Up

  • Attend forward planning meetings to help structure new communities and plan their new facilities.
  • Assist in training Develop/Builder representatives, including sales staff on Governing Documents, Welcome Packets, key fob distribution and project transitions.
  • Oversee water reimbursements for phasing Associations with sub-meters.
  • Coordinate the formation of the first board meeting and recordation of Administrative set up approvals (Rules and Regs, Arch Guidelines, bank approval, DRC formation, etc.).
  • Draft maintenance matrix, send to Developer, suggest their counsel’s review and return within 30 days from requested date.
  • Maintenance Proposals Request and Retrieval.
  • Audit Documents and Final Utility Turnovers.
  • Legislative Updates: Work with counsel to finalize template documents for the management department that will address all legislative changes.

 

Common Area Turnovers

  • Oversee and track turnovers of common area in accordance with the “Transition of Common Area to Association” policy located in Forms & Templates, Property Management, New Development, Common Area Turnovers folder.
  • Delegate turnover walks to the assigned property manager or Group Coordinator to the extent they have the capability of performing this task.
  • Delegate to managers issues requiring follow-up for their projects.
  • Follow up with each developer, via e-mail, to ensure a smooth transition or offer additional assistance, as necessary.
  • Report to the VP of Client Relations issues that arise and send the tracking report at the end of each month.

 

Transition to Existing

  • Upon build-out, and upon receipt of transition notification to the Existing Management Department, meet with the New Development Manager, Existing Association Manager, and their District Manager to review the transition time-frame.
  • Meet as needed with the New Development Manager, Existing Association Manager and their District Manager to ensure the transition is proceeding smoothly.
  • Report any transition concern issues to Regional Manager.

 

Sales & Marketing Related Responsibilities

  • Consistently prospect for potential New Development clients.
  • Build relationships with current and future developer clients.
  • Acquire management agreements to manage new community associations, including community websites.
  • Attend marketing presentations, as necessary, assisting in the acquisition of new clients/accounts.
  • Participate in attendance at annual holiday luncheons with developer clients.
  • Attend industry functions (BIA, IREM, CAI) as necessary to represent Keystone.
  • Brainstorm with the VP of Client Relations to find a resolution to challenging matters, in order to present diplomatic solutions to developer clients.

 

Qualification Requirements:

  • Must have a valid CA Driver’s License.
  • Must have reliable transportation and ability to drive.
  • 3-5 years of experience as a Community Manager.
  • Supervisory experience strongly desired.
  • Must maintain/possess CMCA.
  • Must possess/be in pursuit of PCAM.
  • Bachelor’s degree in Business desired.
  • Ability to lead others by mentorship and training.

 

Education and/or Experience:

  • Bachelor’s Degree desired.
  • High School Diploma required.
