Job Description

The Customer Service Associate is responsible for assisting customers with any troubles or inquiries that they might have. Often, customer service associates help customers over the phone or via email, but they may also deal with customers in person. A customer service associate must possess a service-oriented attitude, as well as a friendly and personable attitude.

  • Operate multiple-line telephone system handling all incoming calls promptly and professionally.
  • Transfer all calls to the appropriate person or executive assistant.
  • Ensure that the telephone lines are open and functioning properly and the reception desk is covered during business/working day and that the phones are transferred appropriately (after hours, weekends, holidays, early closings, etc.)
  • Greet all visitors and announce their arrival to the appropriate person in a professional and courteous manner.
  • Receive mail and deliveries and distribute according to office procedures.
  • May prepare outgoing mail.
  • Operates a PC to view, enter, format revise, print, process and distribute information.
  • Provides information to callers by telephone, email, fax or in person; answers inquiries or requests and resolves complaints, emergencies and problems.
  • Evaluates inquiries in order to provide the most useful and appropriate information. May review Association documents, calendar, website and newsletters in order to answer questions. Interaction with Managers, Admin Staff, Bookkeepers vendors and/or contractors may be necessary to answer and resolve complex problems and inquiries.
  • May write up refund requests, credit late fees and correct misapplied payments as appropriate.
  • Logs information into manual or automated systems; tracks and monitors progress and/or disposition of requests, actions, files, documents, programs etc.; sets up and maintains follow-up files and suspense systems as necessary.
  • Maintains organizational information and other guide references as needed.
  • Performs routine clerical and filing duties.
  • Perform other general office/administrative duties as assigned.

Requirements

  • Professional communication skills (phone, interpersonal, written, verbal, etc.).
  • Professional customer service skills.
  • Knowledge of Microsoft Office products (Word, Excel, Outlook, etc.) at a proficient level.
  • Knowledge of general office equipment (copier, fax, phone systems, etc.).
  • Confidentiality and discretion in the performance of all duties and responsibilities.
  • Self-motivated, proactive, detail oriented and a team player.
  • High School Diploma or GED Required
