Job Responsibilities
The Receptionist is fundamental to the office as they present the first and foremost impression
of the Company to the public. The Receptionist responsibilities involve greeting visitors,
answering telephone calls, and taking messages in a professional and efficient manner. The
Receptionist also performs various clerical duties, which support the operation of the office. The Receptionist role is performed in the Wacker office, Monday through Friday, 9am-5pm,
(excluding summer hours). Work from home is not available for this position.
Essential Duties & Responsibilities
The job duties listed are typical examples of the work performed by positions in this job classification. Not all duties assigned to every position are included, nor is it expected that all
positions will be assigned every duty.
- Greet visitors as they enter the office.
- Answer telephone, screen calls, take and relay messages.
- Provides information to callers and transfer callers to the appropriate person.
- Maintains sign-in/sign-out procedures for visitors.
- Work with building personnel as needed.
- Provide general clerical and administrative support to office employees, including COI
and resident forms.
- Coordinates and maintains the schedule for the conference rooms and conference
telephone lines.
- Prepares out-going mail and receives and sorts incoming mail.
- Distributes incoming faxes.
- Sets up courier service for deliveries or sets up special deliver requests (UPS, FedEx,
US Messenger ).
- Keep reception area and conference rooms presentable.
- Updates and manages various company contact lists.
- Other job responsibilities as may be assigned.
Additional Duties & Responsibilities
- Practice and adhere to FirstService Residential Global Service Standards.
- Conduct business at all times with the highest standards of personal, professional and
ethical conduct.
- Perform or assist with any operations as required to maintain workflow and to meet
schedules. Notify supervision of unusual equipment or operating problems and the need
for additional material and supplies.
- May participate in any variety of meetings and work groups to integrate activities,
communicate issues, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines.
- Ensure all safety precautions are followed while performing the work.
- Follow all policies and Standard Operating Procedures as instructed by Management.
- Perform any range of special projects, tasks and other related duties as assigned.

Education & Experience
- Minimum of Associates degree.
- 2 years administrative or customer service experience preferably in a property
management or service industry.
Knowledge, Skills & Proficiencies
To perform this job successfully, an individual must be able to perform each essential duty
