We want to hire a Construction Coordinator who shares our vision, values and commitment to superior customer service. This role is responsible for the successful planning, execution, monitoring, reporting and closure of their assigned projects. The Construction Coordinator is the liaison between the Community Managers and contractors and vendors, providing continual communication throughout the project’s duration, tracking projects so that are completed on time and within budget.

This position will cover projects at many different communities throughout the larger Portland Metro area, including Vancouver, Hillsboro, Beaverton and more.

Responsibilities

Duties include but are not limited to:

  • Analyze, report and communicate comprehensive vendor proposals in a detailed manner
  • Critically evaluate information from multiple sources and report in detail
  • Review maintenance plans and reserve studies to identify upcoming maintenance; plan, schedule and complete maintenance
  • Provide administrative, project and team support for the contracting and billing of all projects
  • Perform site visits to record, measure and inspect properties, and identify common assets and components (take photos)
  • Coordinate projects with community managers, HOA Boards, Builders and Developers
  • Perform building envelope inspections for selected communities and use data for reserve study updates
  • Find and maintain lasting relationships with qualified Contractors/vendors
  • Send out RFPs/scope of work, review proposals/contracts
  • Community on-site visits to perform minor repairs; inspect components to determine necessary work/maintenance
  • Coordinate emergency related issues and communicate insurance claims with Community Managers
  • Review HOA governing documents for community compliance; and review reserve studies for scheduled/planned work
  • Emergency/after hour on-call schedule is required
  • Other duties as assigned

Requirements

Knowledge & Skills:

  • Proficient knowledge of Microsoft Office (Word, Excel, Outlook, etc.)
  • Knowledge of conflict resolution techniques at a proficient level.
  • Professional communication skills (phone, interpersonal, written, verbal, etc.).
  • Professional customer service skills.
  • Self-motivated, proactive, detail oriented and a team player.
  • Time management and time critical prioritization skills.
  • Ability to communicate respectfully and effectively, both verbally and in writing.

Education & Experience

  • Knowledge and ability to read construction documents and perform scale measurements (plans, maps, specifications) preferred
  • Knowledge of construction terminology processes.
  • Comply with current standards and practices established by CAI, subject to all federal, state and local laws.
  • Knowledge of HOA management and reserve studies.

Certifications or Licenses:

  • Reserve Specialist (RS) Designation through the CAI is preferred.
  • Valid Driver's License required.
