Job Description

The Construction Coordinator will conduct training for new and existing employees, spearhead vendor search and onboarding, and manage post-construction work orders. The Construction Coordinator will work with multiple projects, project managers and cross-functional teams to ensure that the project goals and objectives are met.

Key Responsibilities:

  • Vendor Coordination:
  • Search for, and schedule site walks with subcontractors, suppliers, vendors, and project managers for projects.
  • Send bid packages and requests for proposals to vendors for pricing.
  • Send vendor onboarding packets to new subcontractors and manage collection of documents. Escalate non-responsive vendors to Project Manager and leadership.
  • New Project Setup and Standard Operating Procedures:
  • Create new projects in ERP System, Procore.
  • Assign construction project team members to new projects as directed by leadership.
  • Inactivate projects upon closeout and ensure all post-construction tasks are complete and all open items are closed.
  • Train New and Existing Employees:
  • Develop and implement department-specific new hire training and onboarding plan for standard hires, and as necessary, mass hiring plans for large disaster response.
  • Proactively facilitate training and guidance to project teams for any processes that need improvement.
  • Travel may be required to visit projects to meet with project teams and new hires. This may also involve travel to disaster areas where mass hiring and onboarding is needed.
  • Post-Construction Work Orders:
  • Document and track warranty tasks relevant to each work order.
  • Responsible for managing nation-wide warranty-related work orders from request to completion utilizing Procore and spreadsheet tracking.
  • Responsible for prompt and frequent communication and responses with homeowners and/or community managers related to open work orders.
  • Collaborate with Project team on warrantable and non-warrantable construction items and associated warranty expiration dates.
  • Responsible for vendor search and onboarding related to warranty work orders.
  • Participate in job closeout meetings and knowledge transfer from project team.
  • Responsible for reviewing and validating invoices related to warranty repairs.
  • Emergency On Call Rotation:
    • LHR has a 3rd party emergency call service which Associa communities can contact in the case of an emergency. LHR employees take monthly rotations to be on-call 24/7 to respond to emergency messages.
    • Manage the emergency call system and communicate LHR’s monthly rotation changes to new team rotation for the upcoming month.
    • Proactively monitor if employees have time off and adjust the on-call team accordingly.

Requirements

Qualifications

  • Minimum 5 years work experience in related field, preferably in multi-family residential construction.
  • Travel may be required up to 10% of the time.
  • Exceptional skills in listening, communication, conflict resolution, and negotiation.
  • Follow up and follow through to deliver outstanding service.
  • Excellent time management, organizational, and scheduling skills.
  • Experience working in an environment with rapidly shifting priorities, demands and timelines.
  • Must be familiar with phases of construction and building components.
  • Proficiency with ERP systems, such as Procore.
  • Ability to read and understand Xactimate estimates.
  • Proficient in Microsoft Excel, Word, Outlook, and Adobe.
