Job Description
FirstService Residential is looking for a Compliance Administrator to join our compliance team! Job responsibilities include but are not limited to:
Open, sort and distribute mail daily.
Respond to all emails within 24 hours.
Scan and save all compliance related documents and distribute as necessary.
Attend regular training sessions and cross train with other roles to ensure full coverage for the department.
Open, sort, scan and code all incoming FDNY invoices and approve in the Compliance queue for the property manager's approval.
Mail invoices and payments directly to FDNY.
Open, sort, scan and save all incoming permits and enter new permit information into our system (SiteCompli).
Scan and save incoming salesperson licenses.
Electronically sign all DOB NOW filings daily.
Distribute tax protest forms to the property managers with instructions for completion.
Utilize excel and keep a spreadsheet of which applications/petitions were received and the tax attorney.
Review forms for accuracy and ensure that all signatures and notaries are executed.
Review multiple dwelling registration forms via the HPD portal and review the portal to ensure that all properties are entered into the system.
Update compliance forms with relevant information.
File exempt real property income and expense statements in the relevant portal.
Email reports to property managers for distribution to the Board/Owners.
Distribute VIVE registration instructions for any vendor inquiry.
Knowledge, Skills & Proficiencies
A high level of energy and a strong bias to service excellence and getting things done with a sense of urgency.
Experience with Microsoft Excel & Office preferred.
Possesses personal and professional integrity.
Able to work independently and be a team player.
Well-organized, efficient and has a good sense of priorities.
Diligent and motivated.
Strong analytical skills and detail oriented.
Bachelor's Degree preferred.
