Position Summary:

Primarily responsible for ensuring Architectural Guidelines and Governing Documents are upheld within designated communities by thorough knowledge of Governing Documents and Architectural Guidelines. Providing support to the Community Manager by proactively identifying compliance issues, documenting findings, and helping maintain the overall appearance and standards of the association.

Position Responsibilities

  • Provide direct support to the Community Manager to help maintain and uphold community standards.
  • Conduct routine driving inspections and systematic property tours of all lots within assigned communities to ensure compliance with Architectural Guidelines, Governing Documents, and CC&Rs.
  • Identify, investigate, document, and report violations, complaints, or concerns in accordance with company and association standards.
  • Research issues of non-compliance and prepare documentation for Committee and Board review.
  • Record and track compliance information accurately using company databases and software systems (including VMS, HOA Tool Kit, and BoardVue).
  • Develop, utilize, and monitor compliance tracking systems to ensure timely implementation and adherence to guideline standards.
  • Maintain detailed records of investigations, violations, and follow-up actions.
  • Oversee the preparation of compliance notices, fine notices, and related compliance matters, including landscape and architectural submittals.
  • Partner with and educate homeowners, staff, realtors, and homeowner committees on proper submittal processes, compliance procedures, and long-term solutions.
  • Meet with homeowner committees and provide ongoing guidance and education as needed.
  • Communicate observations clearly, objectively, and professionally while maintaining confidentiality in all resident interactions.
  • Follow established inspection schedules, meet productivity expectations, and assist with follow-up inspections as directed.
  • Perform other related duties as assigned.

  • Ability to handle multiple tasks simultaneously, establish priorities, and meet deadlines.

  • Ability to function efficiently in a high volume, fast-paced environment.
  • Ability to proficiently utilize computer programs and database systems, including Microsoft office, internet and e-mail systems.
  • Ability to interact and work professionally, positively and effectively with homeowners and staff at all levels.
  • Excellent customer service skills.
  • Advanced communication skills both verbally and written.
  • Ability to work collaboratively and cooperatively within the department as well as with other departments.
  • Ability to interpret, evaluate and explain governing documents (CC&R’s) to homeowners, board members and staff members.

Physical Demands & Work Environment

  • Position involves sitting, standing, driving and movement throughout the day.
  • Exposure to various weather conditions.
  • Utilizing mobile devices or tablets for documentation.
  • Utilizing personal vehicle to perform routine physical inspections of the Community.
