Job Description
Part-Time - 20 hours per week
Sentry Management, Inc. is seeking a On-Site Community Representative I at the Grande VIsta Bay Association in Rockwood TN. The CRI will work closely with the Community Association Manager on the day to day activities of managing Association.
The Community Representative I is responsible for providing administrative and community management support for all division community managers and the division as a whole. Duties may vary from accounting, customer service, general office work, and administration of internal office processes to attending board meetings and providing support to communities as directed. The Community Representative is expected to embrace the honor to serve our communities, as well as demonstrate kindness, professionalism, and timely resolution in every interaction. They will also abide by the Sentry Promises made to our board members, homeowners, and fellow employees.
- The position will report to the assigned community association manager in ordinance with Sentry Management’s operational policies and the division president.
- Communicate with the community manager on all issues and concerns by residents and assist the manager as directed.
- Answer on-site phones and follow up with residents on concerns at the direction of the manager.
- Log all calls and track closed and unclosed work orders in the CommunityPro® system at the direction of the manager.
- Keep the front reception area neat and orderly.
- Facilitate vendor management meetings and assist in the RFP process at the direction of the manager.
- Facilitate the cell gate fobs and tracking of fobs in the CommunityPro® system at the direction of the manager.
- Facilitate cell gate system and virtual keypad databases.
- Facilitate clubhouse maintenance issues and repairs at the direction of the manager.
- Facilitate clubhouse and any common area reservations for members
- Facilitate the purchase and order of office and cleaning supplies at the direction of the manager.
- Facilitate new owner welcome meetings to get all current information for the database and provide them with gate access.
- Facilitate all letters to residents through CommunityPro® at the direction of the manager.
- Facilitate any check payments for association items delivered to the on-site location at the direction of the manager.
- Facilitate data entry and file updates/uploads in the CommunityPro® system.
- Facilitate annual agreements for boat slips at the direction of the manager.
- Assist with the facilitation of special projects for committees and board members as required at the direction of the manager.
- Prepare materials for annual and board meetings at the direction of the manager.
Essentials
- Exceptional interpersonal, verbal and written communication skills
- Ability to multi-task and be organized is critical to the success of the position
- Proficient in Microsoft Word, Excel, and Outlook
- Good driving record
