Job Overview
Taylor Management Company is seeking a dedicated Portfolio Manager to join our accomplished team in Whippany, NJ. In this vital role, you will be responsible for overseeing the management of multiple community properties, ensuring operational excellence, and fostering strong relationships with trustees, owners, and residents.
Key Responsibilities
- Accept, create, prepare, and submit work orders for maintenance and repair services.
- Regularly inspect the grounds and buildings of the managed communities.
- Address inquiries from trustees and attend monthly meetings as required.
- Communicate effectively with owners and residents, resolving any administrative matters that arise.
- Handle unit owner inquiries related to common areas and mediate conflicts in collaboration with the board of trustees.
- Coordinate capital projects and review financial reports for each property.
- Ensure comprehensive and updated insurance coverage for each condominium in the portfolio.
- Prepare and facilitate annual election meetings for community associations.
- Collaborate on budget planning and ensure timely reviews by the board of trustees.
- Review and authorize bills for each property within your portfolio.
- Enforce and adhere to condominium documents and regulations established by trustees.
- Solicit bids from contractors for necessary services, following established procedures.
- Maintain accurate physical and electronic records of project documentation and incident reports.
- Be available for emergency calls on a 24⁄7 basis.
- Prepare monthly delinquency reports and manage necessary follow-up actions, including collections.
Required Skills
- Strong verbal and written communication skills.
- Ability to prioritize and manage multiple tasks effectively.
- Proficiency in financial report analysis and budget management.
- Excellent conflict resolution and negotiation skills.
- Knowledge of community management practices and regulations.
- Familiarity with capital project coordination and contractor management.
Qualifications
- A minimum of 3 years of experience in the community management sector is required.
- CAI Certifications are advantageous, though not mandatory.
