Description

Primarily responsible for providing community management and effective customer service to a designated developer portfolio of communities/homeowners through in-depth knowledge of Covenants, Conditions and Restrictions (CC&R’s) and management contracts.

Position Responsibilities

  • Read, review, and have a strong understanding and knowledge of Association governing documents, including but not limited to CC&Rs, Bylaws, Rules and Regulations, as well as federal statutes relating to Associations; Partners with AAM’s Management Team to ensure compliance.
  • Interact with homeowners, vendors, and service providers on a frequent basis to promote and maintain high quality customer service in both the Association and AAM.
  • Prepare and submit bid specs and work orders to vendors/service providers, as needed.
  • Research, create and disseminate communications to owners via newsletters, emails and the web regarding Association activities and policies.

  • Develop and implement policies and carry out tasks assigned by the Board of Directors and AAM.
  • Establish a relationship and rapport with Developer Client.
  • Attend Developer Status Meetings for applicable communities.
  • Prepare, review and present all Developer Status Report.
  • Prepare for, attend, and document annual meetings for Developer Communities.
  • Schedule, organize and facilitate annual budget meetings and other special meetings by providing leadership and professional guidance as required by Association policy.
  • Review, analyze, and present monthly management/financial reports to appropriate parties; identify, and work with accounting to resolve, any discrepancies in reports.
  • Work alongside Budget Analyst to prepare annual association budget.
  • Review, modify, code, and approve Association invoices.
  • Participate with and assist as needed with subsidy requests for Developer Communities.
  • Review, make recommendations, and be a member of the Architectural Review Committee for each Developer Community.
  • Ensure proper insurance coverage for every stage of development within the community.
  • Document all transition of common area using the MAP system.
  • Ensure transition of all common area deeds.
  • Coordinate and ensure property tax consolidations are completed prior to transition.
  • Work with Developer Services to ensure all utilities are established in the correct name and a record of utility meters is established and maintained.
  • Establish transition committees and assist with training and relationship building.
  • Prepare for and execute transition to Homeowner Control.
  • Oversight of compliance/common area inspections.
  • Ensure compliance with established AAM policies and procedures, including but not limited to, annual meetings, corporate records, board packets, collection activities, board reporting, communication, transitions, financial statements and staffing.
  • Assist Clients to ensure compliance with State, Federal, and Association Management Statutes.
  • Attend monthly sales and construction meetings with Developer Client.
  • Perform other duties as directed.

  • Time Management: the ability to handle multiple tasks simultaneously, establish priorities, and meet deadlines.
  • High attention to detail.
  • Self-direction. Capacity to set personal priorities, follow-up and report as required.
  • Experience working with Developer Communities, HOA's, or other entities that involved knowledge and enforcement of Governing Documents.
  • Exceptional organization and tracking skills.
  • Ability to function efficiently in a high volume, fast-paced environment.

Physical Demands & Work Environment

  • Sitting in an office setting utilizing a computer and other office equipment.
  • May be required to lift boxes, fill paper trays, and other minor physical office related tasks.
  • Utilizing personal automobile for commuting to and from assigned communities.
  • Walking and/or driving throughout communities to inspect common areas and other job responsibilities per the management contract.
  • Sitting and standing for moderate periods of time.
