As a Community & Leasing Assistant, you will be an integral part of our team, upholding our standards of professionalism and client service. This role requires a polished demeanor and a proactive approach to supporting our clients and community operations.

Duties And Responsibilities

Answer telephone calls and emails, addressing questions or taking appropriate action. Log and return all phone calls.
Greet and assist walk-in customers, residents, and vendors.
Process community mailings (newsletters, annual/special/regular meeting notices, etc.) as required.
Process work orders for vendors or maintenance staff and follow up as necessary.
Create invoices from work orders when needed.
Perform data entry and update important community information (emergency contacts, tenant/lease registration, pet registration, vehicle registration, etc.).
Draft tenant files, renewals, move-out checklists, leases, and addendums for manager approval.
Process employment and rental verification for applicants.
Schedule vendors and staff for unit turnovers.
Run advertisements for available units and keep MLS ads updated.
Organize and maintain inventory of community keys, fobs, parking passes, etc.
Program fobs for residents, accept payments, or notify the Accountant to charge the owner's account.
Report property deficiencies to vendors as requested by the manager (landscaping, graffiti, lights out, etc.).
Scan items and maintain Community Administrative Files in CityCync.
Prepare meeting materials (agenda, balance sheet, income & expense report, meeting minutes, ballots, board training material, etc.).
Assist the Manager in researching vendors.
Handle the emergency after-hours leasing phone on a rotating schedule, typically every 2 weeks, including weekends and holidays.
Perform other related duties as assigned by the Community Manager.

Skills & Requirements

High School diploma or equivalent
Valid Arizona Real Estate License (must be maintained with continuing education)
Proficiency in Microsoft Office Applications
Excellent verbal and written communication skills in English
Strong attention to detail
Superior customer service skills
Ability to establish and maintain positive working relationships
Ability to handle confidential information with discretion
Capability to work independently and manage strict deadlines in a dynamic environment
Flexibility to work extended hours and adapt to various work schedules
