The CommunityEvents Planner and Activities Coordinator will create, research, plan, schedule, promote, and facilitate community events for homeowners and residents at our HOA community in Gaithersburg, MD. Events include community socials, themed events, holiday events, etc. This includes contacting vendors to provide entertainment, arts & crafts, food and beverage, decorations, transportation, etc.

The CommunityEvents Planner and Activities Coordinator will create, research, plan, schedule, promote, and facilitate community events for homeowners and residents at our HOA community in Gaithersburg, MD. Events include community socials, themed events, holiday events, etc. This includes contacting vendors to provide entertainment, arts & crafts, food and beverage, decorations, transportation, etc.
Daily responsibilities:
- Work with community, vendors, site maintenance, and other groups to ensure qualityexperiences.
- Identify activities, coordinate site and instruction needs, and ensure community programshappen as scheduled.
- Create, plan, design, schedule, and facilitate community events.
- Update and manage the Events Calendar.
- Market, advertise, and encourage participation in events.Send out email blasts, text messaging, and post flyers to advertise events within the community and subdivision(s).
- Purchase, monitor, and clean event supplies and inventory to ensure event readiness.
- Write content and update the biweekly newsletter to promote community activities and events.
- Contact vendors to confirm advertising in community publication.Receive and review advertisements from vendors.
- Update and manage community and vendor emails and contact information.
- Reserve and manage court reservations.
- Schedule staff to work the Snack Bar during pool season.
- Assist with administrative duties. Back-up the administrative assistant as needed. Answer phones, greet guests, and assist walk-ins.
- Train part time Recreation Attendants.
- Other duties as assigned.
- High School Diploma or GED Required.
- 3 + years of event planning and coordinating experience is required.
- Professional communication (phone, interpersonal, written, verbal, etc.) and customer service skills.
- Self-motivated, proactive, punctual, detail oriented and a team player.
- Time management and time critical prioritization skills.
- Knowledge of software programs that enable mass communication, read to text, text to read, and text messaging to promote events.
