Job Description
Summary
Under minimal supervision, oversees and directs volunteer Association Inspectors with Association Deed Restrictions for the community. Works closely with several committees of volunteers. Attends committee meetings to assist the committees with their responsibilities. Ensures that all support, and service is conducted and fulfilled in a manner consistent with the goals and objectives of the Association, support to the General Manager on various tasks and projects, and management agreement between General Manager and the Association Board of Directors.
Duties And Responsibilities
- Meet and greet residents and visitors as they enter the Management Office with compliance-related concerns and offer a comfortable and welcoming environment.
- Works with the Deed Restrictions Committee Chair to determine compliance and non-compliance issues.
- Knowledge of Association's Architectural Guidelines, Deed Restrictions, Governing Documents, and current state and local laws governing homeowner associations.
- Periodically inspects all areas of community for compliance and ensure the Deed Restriction Inspectors are consistently inspecting their assigned zones.
- Confirms any reported non-compliance and follows up with owners and inspectors, as necessary.
- Prepares necessary correspondence between the Deed Restriction Committee and Homeowners.
- Works with the Common Area Committee Chair on inspections and reporting any common area maintenance concerns to the vendor and committee members.
- Tracking all violations to compliance or through Fine status and reporting and tracking common area maintenance concerns using Caliber software.
- Maintains file of violations and serves as the Community Association's coordinator to and attends all meetings of Covenants committee. Assists with meeting minute preparations, recording, tracking, and filing.
- Maintains file of Common Area Reports and serves as the Community Association’s coordinator to and attends all meetings of the Common Area Committee. Assists with meeting minute preparations, recording, tracking, and filing.
- Prepares recommendations on compliance issues to the General Manager and other appropriate board members and/or committees.
- Prepares necessary correspondence between the Fining Committee and Homeowners.
- Prepares all paperwork required for the Fining Committee with compiling notices, tracking, related paperwork, resident communications, and resident assistance.
Requirements
Physical Requirements:
- Position involves sitting, standing and/or movement. Must be able to transport oneself not only in and around the office setting, but also around the community and in and out of vehicles to destinations off the site and back.
- Physical ability to sustain movements especially to the fingers, wrists, hands, and arms. Must be physically and intellectually capable of operating a computer, printer, telephone, radio, and other types of activity that may occur several times throughout the day.
- Duties of maintaining files and records will involve stooping, bending, lifting, grasping, pulling, pushing, reaching, writing, and otherwise moving objects as much as 50 lbs.
- Must possess a valid Florida driver’s license and must be able to operate a vehicle in a safe manner that brings no ham to self or others.
- Must be able to see well enough to read faint or partially obscured writing or printing with or without corrective lenses.
- Must be able to exchange and receive information over the telephone.
Education
High School graduate or its equivalency. College course/degree preferred. Licensed Community Association Manager (CAM) preferred.
Experience
Prior experience with homeowners' association CC&R's preferred. Formal negotiations training helpful. Possess excellent interpersonal skills and negotiating powers to deal withal with a variety of personalities. Confident of skills and ability to make independent decisions when necessary. Willingness to adjust to varying schedules and changes in job-related policies without becoming distressed.
