About the job
As Community Accounting Transition Manager you will play a vital role in ensuring seamless transitions and a positive onboarding experience for our clients. You’ll work closely with leadership, oversee team members, and manage key processes to drive efficiency and client satisfaction.
Key Responsibilities
- Collaborate with the SVP and Regional VPs to deliver an exceptional end-to-end client onboarding experience.
- Supervise the Community Transition Coordinator by setting clear expectations and managing deliverables.
- Import trial balances, homeowner data, and A/R balances; reconcile PMC cash; manage month-end close processes; and transition responsibilities to the Community Accounting team.
- Manage incoming management contracts and coordinate notifications to internal teams.
- Act as the primary point of contact for prior or new management companies (PMC/NMC), ensuring smooth transitions.
- Communicate with PMC or NMC regarding outstanding tasks, follow up as needed, and escalate or document any challenges during onboarding.
- Delegate and monitor tasks assigned to internal teams throughout the transition process.
- Track deadlines and maintain accountability for deliverables across all internal stakeholders.
- Prepare regular summary reports on transition progress for internal and external audiences.
- Develop standardized materials, such as welcome letters and checklists, to streamline the transition process.
- Manage and track subsidy billing distributions.
- Identify opportunities for improved efficiency and implement enhancements to elevate the client transition experience.
- Perform additional duties as required to meet organizational needs.
Qualifications And Skills
- Bachelor’s degree in Accounting or Finance.
- Minimum 5 years of experience in project management, administration, accounting, or a related field.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).
- Experience in the Community Management/HOA industry (preferred).
- Exceptional customer service skills, with a positive attitude and the ability to thrive in a fast-paced environment.
- Highly organized and detail-oriented, with the ability to multitask and meet deadlines.
- Self-starter capable of working independently with minimal supervision.
- Proven ability to build and maintain strong working relationships.
- Strong communication skills, both verbal and written, across all organizational levels.
- Ability to handle confidential information with discretion.
- Analytical mindset with excellent problem-solving abilities.
If driving is, or becomes, a requirement of the role, it is required, at all times, that you hold a valid state driver’s license for the class of vehicle you are driving, maintain a clean motor vehicle report, and hold current automobile insurance at statutory limits. You must notify People Operations immediately regarding any change to your motor vehicle standing. CCMC may periodically review motor vehicle reports to ensure compliance with these requirements.
The physical requirements can vary, but generally, they may include:
- Mobility: Ability to walk the grounds long distances in various weather conditions.
- Lifting and Carrying: Occasionally lifting and carrying supplies or equipment up to 25 pounds.
- Extended Sitting or Standing: Capability to sit or stand for extended periods during meetings or events.
- Manual Dexterity: Skills in using technology, including computers and mobile devices.
- Driving: Ability to operate vehicle to perform certain job functions. (Please note: We will request and review an MVR at the time of hire and on a periodic basis thereafter to ensure that employees maintain a satisfactory driving status.)
