Job Title: HOA Collections Specialist
Job Summary
The HOA Collections Specialist is responsible for managing the collection of homeowner association (HOA) fees and delinquent accounts. This role requires excellent communication, organization, and problem-solving skills to ensure timely resolution of outstanding balances while maintaining positive relationships with homeowners.
Key Responsibilities
- Collections Management:
- Monitor and manage delinquent accounts, ensuring timely follow-up on outstanding balances.
- Initiate and maintain communication with homeowners regarding overdue payments, offering payment plans or solutions when appropriate.
- Prepare and send notices, statements, and reminders to homeowners per HOA policies and procedures.
- Record Keeping and Reporting:
- Maintain accurate records of all correspondence and payment activities in the HOA management system.
- Generate regular reports on delinquent accounts and collection status for HOA boards and management.
- Compliance:
- Adhere to state and federal laws governing collections, such as the Fair Debt Collection Practices Act (FDCPA).
- Ensure all collection activities align with the HOA’s governing documents and policies.
- Collaboration:
- Work closely with HOA boards, property managers, and legal teams to address long-standing delinquencies or disputes.
- Coordinate with legal counsel for filing liens or initiating foreclosure proceedings as needed.
- Customer Service:
- Address homeowner inquiries regarding their accounts with professionalism and empathy.
- Provide clear explanations of charges, penalties, and available payment options.
Qualifications
- High school diploma or equivalent required; associate’s or bachelor’s degree in business, finance, or related field preferred.
- 2+ years of experience in collections, accounts receivable, or a related role, preferably in an HOA or property management setting.
- Familiarity with HOA governing documents, assessment billing, and collection processes.
- Strong knowledge of relevant laws and regulations (e.g., FDCPA, state-specific HOA statutes).
- Excellent verbal and written communication skills.
- Proficiency in HOA management software and general office tools such as Microsoft Office Suite. Vantaca experience a plus.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Bilingual a plus
