Required:18 years or older; pass drug test and background test

Part Time Office Assistant Job Description
- Start date is 9/3/2024***
- Must possess excellent verbal and written communication skills
- Must possess excellent customer service and organizational skills
- Must be accurate, detail oriented and dependable
- Must be punctual
- Must be a self-starter and able to work independently without supervision
- Must have strong multi-tasking skills
- Must have a positive and professional appearance, attitude, and demeanor
- Must consistently contribute as a team player
- Must meet reasonable deadlines
- Ability to handle possible difficult situations
- Proficiency using Microsoft Office Applications and Outlook email
- Proficiency using Google Suites Applications, Ability to master Vantaca and Reporting Systems
- Greet each person who enters the Town Hall and direct them to the appropriate person
- Welcome new residents providing a map and details about the property, and registering for the SummerGrove website, and information about open board meetings
- Answer phones, check voicemails, and forward messages to the appropriate person
- Answer emails
- Scheduling reservations for all amenities
- Adding events and maintaining the office calendar
- Issue and activate amenity access fobs
- Issue seasonal passes, boat decals and boat launch keys
- Issue receipts for all monetary transactions
- Approve pending members on the SummerGrove website
- Updating contact information in Vantaca and the SummerGrove website
- Assisting with log in help in Vantaca and the SummerGrove website
- Sending portal keys and statements through Vantaca
- File completed forms in the appropriate place
- Maintain office supplies, Town Hall supplies, and office forms
- Clerical duties as assigned
- Other duties as assigned by the Property Manager, Modifications and Covenant Coordinator, and/or at the request of the BOD

- Physical demands involve processing and moving incoming and outgoing boxes (25-30 lbs)

- The employee may be required to work at a computer and speak on the phone for extended periods of time.
