Job Description
Position Purpose
Performs full administrative and general support duties to assist the On-Site Property Manager and the Board of Directors.
Performs concierge and administrative duties for homeowners.
Communicates accurate and concise information about the communities rules, regulations and policies to owners, tenants, visitors and vendors.
Major Tasks, Responsibilities And Key Accountabilities
Provides exemplary customer service to homeowners, guests of the community, the Board of Directors and the On-Site Property Manager.
For those with a license, assists with the collections effort on past due accounts for homeowners in the community.
Compiles Architectural Control Committee applications and reviews with applicants to assist owners in navigating the process.
Composes written correspondence.
Schedules meetings with vendors.
Works with Maintenance, Housekeeping & Concierge teams to complete Board directives.
Assists Property Manager with billing issues.
Assists Property Manager with researching account information.
Refers all request for quotes to the Property Manager for approval.
Schedules amenities for residents and manages deposits and payments from those reservations.
Sorts and distributes incoming mail.
Retrieves voice mail message and returns or forwards calls as appropriate.
Maintains electronic and hard copy filing system and efficient information retrieval system.
Manages Board of Directors and general community email list servers.
Performs clerical duties which include photocopying, faxing, operating postage machine, and preparing large volume documents for mailing.
Assists with special event planning with Social Committee and management.
Secures the office and telephone system at close of day.
Nature and Scope
Typically has frequent contact with homeowners and vendors in person and via telephone or email.
Requires the ability to work independently while prioritizing workload with an attention to detail and willingness to complete projects in a timely and efficient manner.
Occasional outside property inspection or other duties.
Must meet reasonable deadlines.
Demands accuracy.
May be involved in mildly difficult situations.

Monday to Friday, 9am-5pm onsite position that does not allow for a hybrid work option

Requirements
Environmental Job Requirements
Physical demands involve processing, lifting & moving incoming & outgoing boxes (25 to 30 pounds).
Lengthy periods of sitting, standing, bending, and stooping are required.
A lot of face-to-face interaction with homeowners.
Positive attitude especially when faced with stress or tense situations.
Education Required
Proficiency in MS Word, MS Excel, MS Outlook.
Good oral and written communication abilities.
The knowledge and skills typically gained through the acquisition of a high school diploma and/or GED.
