Summary

Under the direction of the Director of Community Management & the Board of Directors, the Lifestyle Coordinator plans and implements recreational activities, which include but are not limited to special events, adult education, and the scheduling of clubhouse facilities for recreational use. The Lifestyle Coordinator will have significant contact with residents and vendors associated with Clubhouse Activities. This is a full-time position working Monday through Friday with at least one weekend day will be required per month.

Community Programs Recreation

  • Adhere to budgetary knowledge and control for the purpose(s) of executing recreational activities,

programs and events.

  • Document all community program plans, vendor contacts, financial, event summary reports, etc. as required that will direct the activities of the community programs.
  • Coordinate and implement both large-scale community events and smaller neighborhood activities to create community spirit.
  • Assist with the recruitment, motivation, and coordination of community volunteers to empower residents to lead and support community events. These volunteers should also be recognized whenever appropriate.
  • Working with the Director of Community Management, identify, hire, and oversee the performance of all vendors for events and programs. Obtain and document all vendor contracts, licenses, and insurance certificates.

Administration

  • Coordinate, monitor, and administer all recreational activities.
  • Report deficiencies (as observed) to management regarding the performance of vendors and subcontractors for the Clubhouse and Clubhouse grounds.
  • Coordinate master community calendar for programs and events and recreational activities planned for Seven Oaks West Master Association.
  • Assist with the establishment and maintenance of a vendor and volunteer database and develop positive working relationships.
  • Register and monitor the use of all private clubhouse rental functions including pre and post-event inspections.
  • Respond to inquiries and educate homeowners on rules and hours of clubhouse usage.
  • Participate and assist in the development and coordination of volunteer and vendor training and orientation activities.
  • Facilitate promoting both large-scale community events and smaller neighborhood activities through e-mail communication, Experience Seven Oaks APP, social pages, and website.
  • When applicable, capture photographs of the community events for marketing purposes.
  • Assist with customer service calls and related work orders in accordance with established Association procedures through the management company.
  • Prepare facility reports for presentation to the Board of Directors (vandalism, facility usage, facility closure, and community programs and events summaries).
  • Assist with aspects of new resident registration/orientation as appropriate.
  • Maintain lost and found depository.
  • Other duties as assigned.

Requirements

Knowledge, Skills, and Experience

  • High School Diploma or equivalent.
  • 3- 5 years of experience or demonstrated ability in the coordination and/or management of community or nonprofit special events.
  • Demonstrate strong positive verbal and written communication skills to instill confidence in the residents that reside within the community as well as the public that may interact through designated programs
  • Excellent Organizational and time management abilities, with the ability to implement and monitor.
  • Excellent communication skills, both verbal and written
  • Customer service driven.
  • Proficient in Microsoft Word, Excel, Outlook, and PowerPoint
  • Strong organizational and time management skills
  • Ability to multi-task

License/Permits/Certifications Required

Valid Driver’s License and State mandated vehicle insurance.

Availability

Regular business hours and after regular business hours, as necessary. Must be able to work weekends, some evenings, and some Holidays. Includes one Saturday per month and events are added on weekends.
