Job Description

Associa Chicagoland is seeking a Client Support Coordinator in our Schaumburg office location to primarily work with accounts receivable, settlements, and other duties, which may include working with both customers and board members. The Client Support Administrator performs timely duties related to processing account updates, responding to board member inquires, responding to customer inquiries of account status and administrative tasks with onboarding new clients. Additional duties assigned highlight related responsibilities to collections, including attorney communication, invoice processing, and reconciling open requests for the month.

Duties and tasks include but are not limited to:

Resales/Settlements

  • Receive and send closing documents for processing by the centralized team and follow up on completion.
  • Point of contact to receive settlement checks and process checks timely.
  • Responding to homeowners/board members/internal customers/supervisor requests in a timely manner.
  • Review and issue homeowner refunds weekly.

Resale Orders/Community Archives

  • Assist internal customers with understanding the system and answering questions about pending and/or upcoming orders.
  • Assist with questions on delinquent accounts for upcoming resales.

Administrative Support for Onboarding New Clients

  • Format documents for the onboarding process.
  • Assist in updating utility accounts for onboarding clients.
  • Review documents to scan in required documents.
  • Communicate with new clients during the onboarding process to provide required forms.
  • Set up portal for onboarding clients.

Requirements

  • High School Diploma or Equivalent.
  • A minimum of two (2) years of administrative experience & collections.
  • Previous experience in community management preferred.
  • Able to read, write, and orally communicate clearly in English.
  • Overtime required as needed.
  • Strong computer abilities are required including but not limited to Microsoft Word, Excel, and Outlook.
  • Must have a clear understanding of how to compose business correspondence.
  • Should have a basic understanding of all general office equipment and etiquette.
  • Excellent organizational, multi-tasking and customer service skills are required.
  • Ability to work effectively in a team environment and be self-motivated and exercise good judgment.
  • Requires basic math skills and an understanding of basic accounting practices and principles.
  • The position also requires managing multiple priorities and problem-solving.
  • Strong attention to detail and organizational skills are required.
  • Must be able to communicate clearly both verbally and written. Discretion is of the utmost importance.
