Job Description
Associa is currently looking for a Client Administrative Coordinator to join our Rhome team in Wilmington, NC. TheClient Services Specialistplays a pivotal role in ensuring an exceptional customer service experience for a professional property management company.This multifaceted position involves managing the reception area, coordinating administrative tasks, and ensuring exceptional client experiences. The Client Administrative Coordinator will maintain office functionality, and serve as a liaison between clients, residents, and internal departments. The Client Administrative Coordinator is responsible for upholding high service standards, resolving issues efficiently, and contributing to the overall efficiency and professionalism of the company's operations. The Client Administrative Coordinator will be instrumental in maintaining a professional and efficient office environment, ensuring exceptional client experiences, and contributing to the success of the property management company.

Key Responsibilities
As a Client Administrative Coordinator, you will play a vital role in ensuring smooth day-to-day operations and exceptional client experiences. Your duties will include:
Client Services & Front Desk Support
- Respond to incoming emails, phone calls, and assist walk-in clients, tenants, and vendors with inquiries
- Conduct property showings for prospective tenants as needed
- Assist with new tenant move ins and move outs.
- Assist vendors checking out keys for property maintenance
- Assist our showing agents, ensuring a seamless experience for clients
Administrative & Operations Tasks
- Provide backup support for Property Review Technician
- Photograph and video properties as needed
- Oversee daily mail distribution, including sorting, posting, and managing postage meter supplies
- Provide backup support for Property Onboarding as needed
- Complete move in or move out inspections to support property managers as needed
- Support social media and marketing efforts
- Establish and maintain a prospective tenant follow-up program to enhance engagement and leasing success
- Deliver and install property yard signs as needed
- Participate in special projects and administrative tasks to support the team
Requirements
