Job Description
Job Summary
Interact closely with on-site managers and boards, Client GL Accountants, and AP/AR departments to ensure all the associations managed by FirstService Residential receive superior, specialized banking services and be a reliable resource of support for our property manager partners in the field. Responsible to ensure all required documentation is collected by the assigned banking coordinator and submitted based on each bank’s specifications. Facilitate conference calls as needed and assist the Banking Manager with any assigned duties. Identify opportunities to simplify processes and increases efficiency while remaining within the established company policies and FirstService Financial partner bank guidelines.
Essential Duties & Responsibilities
- Reviews and tracks all New account requests for all associations statewide.
- Ensures all account closure requests for all associations statewide are completed.
- Responsible for reviewing all dormant accounts to ensure they are active for usage.
- Administers bank control functions for partner banks including but not limited to updating authorized signers and maintaining legal documentation.
- Monitors and tracks closing and funding checks ensuring items are deposited to the correct bank accounts.
- Answers inquiries about banking procedures and researches specific transactions & escalations.
- Consolidates and analyzes weekly reports to provide progress and/or variance explanations. Reports include Start-up, Funding, Pending Signature Card & Account Closure reports.
- Performs bank coordinator annual performance evaluations.
- Assist with administering and maintaining of the online Banking Workflow approvals for all properties.
- Liaison between partner banks and field personnel to identify possible issues, inconsistencies and suggest appropriate corrective procedures.
- Ensure all Cash Management and FirstService Financial personnel are made aware of changes in bank requirements and documentation.
- Document/update Banking Standard Operating Procedures. Review processes to ensure department compliance.
- Responsible for driving the banking team toward completing all signature card requests within the expected time frame as well as providing reports to show current status with pending requests.
- Supervises Banking Coordinators and provides training and guidance as needed.
- Responsible for leading the DocuSign implementation and continuing to develop proactive processes that will propel and improve our banking services.
- Assist and attend to client facing matters as necessary to resolve escalated issues from Homeowners or Board members.
- Liaison with other Regions (NV, AZ) to coordinate and centralize the banking internal control structure. Ensure best practices are adhered thorough these regions including but not limited to: Dual approval functions when setting up new accounts, segregation of banking duties, and management of other approval functions within the Banking modules.
Additional Duties & Responsibilities
- Conduct audit processes to ensure daily deposits are reconciled and report on and correct any errors or variances in a timely manner.
- Manage and resolve rejected lockbox items.
- Follow all policies and Standard Operating Procedures as instructed by Management.
- Perform any range of special projects, tasks and other related duties as assigned.
Supervisory Responsibility
- Supervises Banking Coordinators and Cashiers.
Education & Experience
Bachelor’s Degree in Accounting, Finance, Business or related field from an accredited college or university, and four years or more of functional experience in Banking or Cash Management; or equivalent combination of education and experience.
Knowledge, Skills & Proficiencies
- Proactive, innovative critical thinker, complex problem solving, and strong decision-making ability.
- Excellent verbal and written communication skills.
- Must have a strong work ethic and be detail-oriented with excellent organizational and multitasking skills.
- Strong working knowledge of customer service principles and practices.
- Must have strong proficiency in Windows and Microsoft Office, including but not limited to Word, Excel, Power Point and Outlook. Proficiency researching the Internet.
- Ability to work with sensitive or confidential information.
- Ability to meet deadlines and work well under pressure.
- Ability to work well in a team environment as well as independently and be self-driven.
Tools & Equipment Used
Computer and peripherals, standard and customized software applications and tools, and usual office equipment.
Physical Requirements/Working Environment
This position works under usual office conditions. The employee is required to work at a personal computer as well as be on the phone for extended periods of time. Must be able to stand, sit and walk. The incumbent must be able to work extended and flexible hours and weekends as needed.
