Keystone Pacific Property Management, LLC is a prestigious property management firm headquartered in Irvine, CA, with regional offices in Aurora and Westminster Colorado. Since 1982, we have led the way in providing superior customer care for our clients in planned-unit developments, condos, mixed-use, commercial, new project developments, large scale onsite communities and master-planned community associations.

 

We are currently in search of an Associate Front Desk for our regional office in Westminster, Colorado. The responsibilities and qualifications are listed below.

 

Summary: The Associate Front Desk is responsible for telephone coverage, responding to customer service requests and the performance of administrative duties at the request of Community Association Team Members. Works at an onsite or regional office location.

Essential Job Duties and Responsibilities:

  • Respond to routine customer services requests in a timely manner with telephone coverage, email requests and performance of administrative duties.
  • Professionally greet homeowners and attend promptly to their request and if unable to assist them will ensure the appropriate staff members are contacted to address a homeowner issue.
  • Process work order requests per procedures and enter information in appropriate work order program.
  • Follow up on all open work orders to ensure their completion.
  • Update and maintain Association reference on call information sheet.
  • Answer general architectural inquiries about the architectural process, provide application, fees/deposits application timeline, architectural guidelines, paint colors, etc.
  • Process requests for transponders, gate remotes, keys etc.
  • Respond to general inquiries on governing documents.
  • Process of incoming checks.
  • General account inquiries.
  • Process community website updates with scanned minutes, notices, etc.
  • Process homeowner clubhouse/park/pool/tennis court reservations.
  • Updating and maintaining homeowner information into gate access software.
  • Distributing and programming pool keys, mailbox keys and parking passes.
  • Provide requested reports, letters, and other communications to assigned Managers.
  • Send reminder emails to Board/Committee Members for inspections/meetings.
  • Execute customized violation letters at the request of the Board/Manager with details provided by Manager.
  • Provide answers to general inquiries regarding violation letters.
  • Process incoming mail and scan to the appropriate individual.
  • Properly process approved proposals and file them in the appropriate folder.
  • Process Manager’s request for proposal with the provided scope of work, vendors, and timeframe.
  • Ensures lobby and conference rooms are always kept clean with professional appearance. Maintains kitchen, small copy center, and other assigned areas in clean and orderly fashion. Restocks kitchen as assigned.
  • Proactively maintains adequate inventory of all printed stock items such as letterhead, envelopes, board packet tabs, etc.
  • Process and report monthly postage for each community association.
  • Record printing and copy counts for each printer.
  • Invoice/data entry.
  • Works effectively to minimize waste.
  • Complete special projects as needed and approved by Supervisor.
  • Practice and adhere to Keystone’s Core Values, Mission, and Vision.
  • Perform all other duties as assigned.

 

 

Qualification Requirements:

  • Must have a valid Driver’s License.
  • Must have reliable transportation.
  • Ability to work under tight deadlines and consistently meet deadlines.
  • Exhibit professionalism, professional attire, and demeanor at all times.
  • Demonstrate effective strong verbal and written communication and listening skills.
  • Demonstrate problem solving abilities.
  • Must be proficient with computer programs, including Word, Outlook, and Excel.
  • Demonstrate organizational skills and ability to independently prioritize daily workload.
  • Must work effectively with co-workers and clients.
  • Excellent interpersonal skills.

 

Education and/or Experience:

  • 1-2 years of experience working in a Customer Service role.
  • Bachelor’s Degree preferred.
  • High School Diploma required.
