Job Description

The Associate Community Director is the Team Lead for their group of assigned Community Managers. Along with managing a portfolio, this role is also responsible for overseeing the day-to-day operations of the Community Manager team to include providing leadership, guidance, and mentorship. This role interacts with internal and external customers including homeowners, vendors, board members and committee members, as well as staff within the branch office. The Associate Community Director is the department subject matter expert and is the first point of contact for the Community Manager team to elevate issues to, ask questions of, and seek guidance from. This position is also responsible for the onboarding and training of new Community Managers.

Job Duties And Responsibilities

Dutiesinclude but are not limited to:

Community Management

  • Supervise the operation and administration of the Association in accordance with management agreement and the Association's policies and procedures.
  • Acts as or oversees the primary liaison with the Association Board of Directors and homeowners as needed.
  • Perform/Direct administrative and management duties as requested by the Board of Directors and in accordance with the management agreement.
  • Ensure Associa community management tools are being effectively developed and utilized such as annual calendar, action item list, resolution worksheets, committee charters, procurement procedures, FY operating budget, etc.
  • Review monthly financial reports and ensure management summary is submitted to the association Board of Directors.
  • Provide and/or oversee recommendations to the Association Board of Directors and committees regarding major capital expenditures as required to maintain the desired community appearance and operation.
  • Monitor corporate and client delinquency rates and collections process for account portfolio.
  • Attend Board meetings per the management agreement and community events as needed.
  • Prepare Board packages according to established time frames.
  • Ensure Board of Directors is aware of legal actions involving the Association.
  • Maintain unit and contract files relating to the operations of the Association.
  • Assist Board of Directors/ARB with architectural review process and/or routine inspections as necessary.

Department Leadership

  • Assist in overseeing the activities of the Community Manager Team to guarantee each member is performing as necessary according to their job duties and responsibilities as required to ensure our client retention and satisfaction as per each contract provides.
  • Onboarding and training of new Community Managers, and ongoing training of all Community Managers as required.
  • Addressing team questions and concerns in a timely fashion.
  • Assist in ensuring that team members are adhering to all established company policies and procedures.
  • Assist in confirming that team is communicating with internal and external customers appropriately and in a timely fashion.
  • Responsible for reporting to Human Resources and the Branch President on the performance of the team and individual contributors as needed.
  • Prepare for, present at and follow up on monthly CAM Meetings.
  • Coordinate and Schedule CAM Educational Meetings/Events, including assignments in Degreed.
  • Utilize Reporting tools such as Power BI to track deliverables, follow up with CAMs and Branch President on findings.
  • Participate with Branch Leadership in the planning and Development of Board Seminars/Orientation.
  • Assist Branch President with completion of CCTR and ability to create/implement/monitor SRP’s.
  • Assist with the oversight of community/manager transitions.
  • Be an advocate for Associa Integrated Services.

Other Duties

  • Ad-hoc reporting and/or projects as needed.
  • Other duties as assigned.

Requirements

Knowledge and Skills

  • General knowledge of financials, budgeting and accounting practices.
  • Proficient knowledge of Microsoft Office (Word, Excel, Outlook, etc.).
  • Knowledge of conflict resolution techniques at a proficient level.
  • Professional communication skills (phone, interpersonal, written, in-person, verbal, etc.).
  • Self-motivated, proactive, detail oriented, and a team player.
  • Time management, organization, and time-critical prioritization skills required.
  • Professional customer service skills.
  • Ability to communicate respectfully and effectively, both verbally and in writing.
  • Knowledge of conflict resolution techniques at a proficient level.

Education And Experience

  • Three tofive years of relevant industry-related experience.
  • Prior experience in new home construction, sales or HOA management required.
  • Prior supervisory experience required.

Certifications and/or Licenses

  • Valid driver’s license required.
  • Supervising CAM License in State of Nevada is required.

Working Conditions

  • Generaloffice hours: 8:00AM – 5:00PM (Work From Home Policy)
  • Ability to attend evening HOA meetings.
  • Reliable transportation
  • Non-Typical office environment (frequent standing, walking, talking, etc.), both inside activities and outside activities.
  • Overtime may be required.
  • Frequent social interaction.
