Job Description
Action Property Management manages more high-rise residential buildings than any other management company in California. Action is seeking an experienced Assistant Manager to support our General Manager for our luxury high-rise property, The Rivers, located in Sacramento.

Schedule: Monday -Friday, 8:30 AM to 5:00 PM
Compensation: $24.00 Per Hour
Summary:
The Assistant Manager will support the Community Manager by performing various aspects essential to the basic operation of the association including assisting third-party vendors, and resident services. This person serves as second in command at all times to the Community Manager and often acts as Manager on Duty in the absence of the Community Manager.
RESPONSIBILITIES:
Administrative
- Perform all administrative tasks to ensure the smooth operation of the office, including handling correspondence, phone calls and scheduling.
- Assist in preparation and distribution of agendas, notices, reports and other documents required for monthly board and annual meetings. Prepare minutes of the board meetings.
- Order and maintain supplies and arrange for equipment maintenance.
- Assist Manager with Action List items and updates.
- Maintain vendor files and insurance certifications
- Prepare and monitor non-compliance letters, hearing and decision notices.
- Update the Association's Profile, Annual Calendar, and Contracts Schedule, website, SharePoint and calendars.
- Prepare email blasts and other communications with members.
- Coordinate necessary refreshments and supplies for association meetings and functions as necessary.
- Support Teams.
- Other duties as requested by the Community Manager.
Architectural Review
- Act as the liaison, under the direction of the Community Manager, to the Architectural Review Committee and other committees as may be established by the Board of Directors.
- Coordinate committee meetings.
- Interact with homeowners, communicate status and prepare letters throughout the process and monitor the progress of construction.
- Process architectural fees.
Accounting
- Complete accounts receivable and charge forms for service requests, amenity rentals, storage rentals, access devices and checks received onsite.
- Receive and process invoices for the Community Manager. Verify accuracy of invoices and statements received.
- Research past due balances on invoices and statements.
Qualifications:
- Previous HOA management experience preferred but not required.
- Must have excellent written and verbal communication skills;
- Able to work in a team environment and ability to work independently.
- Exceptional time management skills
- Excellent typing speed;
- Organized; and can assist manager with meeting deadlines, etc.
- Commitment to following up on all issues in a timely manner.
- Strong MS Office Suite (Word, Excel, Outlook) skills.
- Must be able to attend evening meetings when requested by Manager.
- Proactive in service and passionate about excellence
- At least 2 years of onsite leadership experience at a luxury high-rise community or hotel.
