Lifestyle Administrative Assistant



Our ideal candidate has customer service and hospitality experience, is a go-getter who is organized, professional, creative, customer service-oriented, and comfortable working in a fast-paced environment.

This position will assist the Lifestyle Director with events and programming during the planning stage of each event, which can include event décor set-up and take-down, greeting and checking-in attendees, managing vendors, serving as the point person for events, assisting the Lifestyle Director with event operations for a 55+ community.





Full Job Description

This Administrative Assistant provides a wide variety of administrative support services. Performs office work directly related to the Lifestyle Department. The Administrative Assistant also provides exemplary service in a manner consistent with the values and mission of the Castle Group. He or she performs all responsibilities while demonstrating outstanding customer service skills representative of Castle Royal Service as it relates to this function. This includes working interdepartmentally, as well as, with our external customers.

  • Answers telephones/emails promptly and assists residents with questions and
  • Inputs/Processes/Closes request managers forms as required for Stay in Shape, Room Reservations, and Room Setups.
  • Helps to plan, coordinate, and implement all POA-funded events and/or shows; including but not limited to, budgeting for the activity, ticket sales, scheduling room use, facilitating preparations (set-up, decor, execution, Décor, and break down) and procurement of all supplies needed for the activities.
  • Tracks resident Lifestyle issues to enable Lifestyle Director to identify major problems or trends.
  • Must be comfortable speaking in front of a crowd - giving reports on the community social events at board of directors’ meetings and also introducing events.
  • Assist with the publishing of social calendar for distribution both electronically and in the club house.

Ensures all safety precautions and procedures are followed while performing duties.



Qualifications

  • Work authorization (Required)
  • High school or equivalent (Required)
  • Customer service: 2 years (Preferred)
  • Microsoft Excel: 2 years (Preferred)
  • Microsoft Office: 2 years (Preferred)
  • Calendar Management: 2 years (Preferred)
  • Administrative: 1 year (Preferred)
  • Hospitality: 1 year (Preferred)



Education/Training/Certifications/Licenses:

High school diploma or equivalency required. Associates degree in business or hospitality preferred.

Experience/Knowledge/Skills:

Three (3) to five (5) years of business experience preferred, including event planning. Strong customer service, communication and interpersonal skills required. Effective written and verbal communication.

Computer literacy:

Intermediate command of computer hardware/software is required; specifically, knowledge of Microsoft Windows, Word, Excel, Power Point, Publisher and Outlook. Experience in maintaining a website is desired.

Language requirements:

Multiple language fluency is desirable, but not necessary.

Travel and availability requirements:

May be required to travel for training sessions off-site on an ad-hoc basis. May be occasionally required to cover for staff at other communities within a reasonable commuting distance if needed.

Physical Requirements:

Ability to lift 50 lbs.; Work in an upright standing or sitting position for long periods of time. Handle, grasp and lift objects and packages; extensive use of fingers for typing and visual use of the computer monitor. Reach with hands and arms. Communicate, receive and exchange ideas and information by means of the spoken and written word. Ability to quickly and easily navigate the property/building as required to meet the job functions. Complete all required forms.

Working Conditions:

The majority of work will be completed indoors in a temperature-controlled environment with little to moderate noise levels. May require outdoor site visits on an occasional basis.
