Summary

 

Under minimal supervision, monitors and coordinates services provided to the Association through contractual agreements and/or non-contractual agreements, directs and supervises the day-to-day maintenance and operations of the Association Facilities, works with Architectural Review Committee, Compliance Committee and monitors all construction activity on the property. Significant contact with the Board of Directors, Committees, homeowners, staff, contractors and local government officials.

  • Schedules and supervises the Building Maintenance Engineer and janitorial staff.
  • Accountable for many and varied responsibilities including maintaining and repairing all common areas (hallways and lobbies, pools, spas, tennis court, gazebo, roads, and grounds).
  • Responsible for maintaining and operating 1970s era infrastructure systems (heating, cooling. plumbing, plus a modem cogeneration system).
  • Inspects common areas to ensure the proper quality of service.
  • Tracks inventory and ordering all necessary parts and supplies.
  • Oversees vendors hired by the Association.
  • Patrols common areas to enforce Association rules.
  • Inspects homeowner remodel projects to ensure compliance with all Association rules and standards.
  • Interacts with residents to address individual concerns.
  • Must be prepared to deal with major and minor emergencies (Lighting, gates. leaks, etc.).
  • Responsible for conducting detailed inspections to establish the operating condition of all infrastructure systems and develop and implement comprehensive preventative maintenance programs and make recommendations for replacements and major repairs in order to create a stable and reliable operation. Equipment maintenance documentation and records will be updated and maintained.
  • Excellent communication and people skills are essential. The Maintenance Coordinator must be able to communicate effectively with all members of the community, homeowners, Board members, staff: General Manager, as well as with vendors and contractors, and City/County inspectors.
  • Responsible for soliciting proposals, negotiating with vendors to ensure the best possible service for a fair price, and presenting recommendations to the Board of Directors for approval.
  • Responsible for attending the monthly Board of Directors meetings to report on the status of all areas of responsibility and to foster open communication and positive community spirit within the Association.
  • Prepares the annual maintenance budget and performs monthly monitoring of expenditures, approval of expenses for payment, etc.
  • Performs and/or coordinates safety training for new employees, holds department staff meetings for continued training, investigates injuries or near misses and reports to General Manager and Human Resources for possible action; maintains safety and maintenance logs as requires by SB198 and CAL/OSHA. Performs safety inspections and meets annually with Human Resources for safety inspection. Follows up on report with General Manager to ensure that unsafe practices or conditions are corrected.
  • Assist with other jobs and other duties as necessary.
