Job Description

Position Summary:

 

In an on-site environment, this position is responsible for providing day-to-day accounting functions and assisting with the supervision of the administrative support staff of the Community Association assigned. In their role as an accounting specialist, this person will perform the following functions as part of their essential duties and responsibilities:

 

  • Timely and accurately enter all payables information into the correct accounting system codes for final approval by the Community Manager
  • Review the current financials to ensure the information is entered accurately
  • Recommend corrections and reclassifications, as necessary
  • On a weekly basis, review the budget vs actual reports to review specific line items that may exceed the monthly or annual budget, as well as compare to the previous year’s budget
  • Work with the community manager on developing the monthly variance report for presentation to the Board and the Budget & Finance Committee
  • Along with the Community Manager, meet with the Budget & Finance Committee and the Board to review the financial / variance report
  • Be heavily involved with the annual budget development process, including analysis of actuals and working with regular vendors to anticipate potential increases
  • Meet weekly, or as needed, with the community manager to discuss the Association’s financials
  • Discuss advanced account questions from property owners regarding their specific property accounts
  • Work with the back-office accounting team to quickly address individual property owner issues, trends or recommend better systems and processes to make financials, reports and communication in more effective and efficient manners
  • Other financial duties as assigned

 

In an assistant community manager role, this person will also assist with oversight and support of the various departments within the Community Association. The assistant community manager will be a primary liaison to the property owners, but will also occasionally interact with vendors, board members and committee members, as well as staff at the Associa Client Shared Service Center (CSSC) and within the branch office. In their role as an assistant community manager, this person will perform the following functions as part of their essential duties and responsibilities:

 

  • Assist with implementation of Board policy and directives within the scope of the management agreement
  • Work with the boards and committees on strategic initiatives, policy governance and association projects
  • Attend Board and Committee meetings as necessary
  • Help supervise all administration staff at the community
  • Assist with preparing schedules and establishes priorities for routine and special work projects
  • Assist as a liaison between the Board of Directors and property owners in the execution of the established policies and the conveyance of their questions, concerns or complaints
  • Other duties as assigned
