Job Description

Title: Assistant General Manager 

Location: Waterplace Condominiums, Providence, RI

Hours: 8:30 a.m. -5:00 p.m.; monthly Board Meetings

Job description:

Join a well-established Management Company located in Downtown Providence, RI.

The Assistant General Manager supports the General Manager and other site staff to provide seamless customer service to the residents and board members.

Essential Functions and Responsibilities include:

Supervise Concierge staff, including schedule management and coverage. Work with concierge leads to ensure elevated services and deliverables. Identify any shortcomings and meet with the company for corrective measures. Assess performance. 
Business partner to General Manager and Board of Directors. 
Manages ongoing, incoming communications and documents for management, residents, and board members. 
A/R billing and tracking
Maintains accurate condominium documents, contracts, packages, regulations, agendas, meeting minutes, and all related correspondence. 
Conduct new resident orientations. 
Provide general support to the General Manager, including coordinating monthly meetings, facilitating maintenance requests, scheduling appointments, and handling unit owner requests. 
Provide administrative support to residents during the sale and/or refinancing of unit(s) and modification requests/approvals. 
Maintains Database management for property. 
Attend evening monthly board meetings and prepare Minutes. 
Research and propose creative resident engagement events. Organize, publish, and execute approved events. 
Generate leads and cultivate relationships with local businesses and communities to offer promotions and specials for the residents. 
Conduct community surveys for “Lifestyle” events when requested. Establish and manage clubs and committees as needed based on Board approved charters. 
Assist with publications. Prepare quarterly Newsletter and Monthly “Out & About” publication. 
Other duties as assigned. 

Requirements

Background, Skills, and Abilities

Strong Microsoft Office skills and experience in property management databases would be a plus. 
An associate degree plus 1-3 years of directly related or legal experience is preferred, and an equivalent combination of education and experience will be considered. 
Similar experience in a fast-paced environment, Property Management preferred. 
Strong communication skills (both written and oral)
High levels of attention to detail, initiative, accountability, and adaptability
Must be able to meet deadlines and multi-task. 
Must be highly organized. 
Positivity in all interactions and communications
