Position Summary
This position requires a strong background in property management accounting as well as strong communication and computer skills. The Assistant Director of Client Accounting is responsible for the accurate and timely production of monthly financial statements for assigned properties. The ideal candidate must be detail-oriented, able to work well under pressure, meet hard deadlines, and have excellent communication and presentation skills. This position works largely unsupervised, must thoroughly understand all FirstService Residential accounting practices and processes, and maintain strong relationships with clients, property management, and Client Accountants. The Assistant Director possesses the necessary skills and knowledge to successfully handle the more difficult or complex properties and relationships.
Position Responsibilities
- Operates with direct oversight for an assigned group of client accountants, insuring any issues with accuracy, timeliness or responsiveness will be appropriately escalated to the Director of Client Accounting for resolution.
- Formalized monthly review of financials during closing for the assigned client accounting associates.
- Mentors and trains new client accountants fostering an environment of continuous learning and development.
- Provides support, when needed, for onboarding and transition of new associations.
- Works closely with the Tax Preparer/Audit Coordinator to ensure the accurate and timely posting of adjusting journal entries prepared by external auditors.
- Prepares association financial statements for a small portfolio of blue-chip clients, including P&L variance review, bank reconciliations and Balance Sheet reconciliations.
- Prepares financial statements in accordance with GAAP regulations for not for profit organizations
- Identifies and records income and expenses by accounting periods and follows accounting schedules by preparing accruals, prepaid schedules, or receivables schedules in a timely manner.
- Reviews expense coding and approves invoices in the A/P (AVID) system.
- Prepares monthly cash flow forecasts
- Prepares, reviews, and resolves banking issues including the processing of bank account transfers.
- Assists with review of association shortfall funding requests, if deemed necessary.
- Monitors bank accounts to identify excess funds for opportunities to improve investment income.
- Supports management in the preparation of the annual operating budgets.
- Responds to accounting and financial questions by researching and interpreting data.
- Communicates with management, BOD members, developers and/or bank representatives, as needed.Identifies opportunities to streamline processes to ensure accuracy and timeliness, making recommendations to the Senior Director.
- Troubleshoots any accounting or reporting issues in collaboration with Operations, Regional staff, or Accounting.
- Attends Board meetings unsupervised, when appropriate, supporting operations as the accounting resource.
- Assists the Director of Client Accounting with the interviewing and hiring of new Client Accountants, including recommendations for potential internal candidates.
- Participates in a variety of meetings and work groups to integrate activities, communicate issues, and resolve problems.
- Maintains strong documentation standards and audit trails to support all transactions.
- Protects the organization’s value by keeping information confidential, adhering to the Code of Ethics Policy and following the Global Service Standards.
- Assists with special requests or projects as deemed necessary by Management.
Operating Skills, Knowledge & Abilities
Education/Training:
Bachelor's degree (B.A. or B.S.) in Accounting from a four-year college or university is required. Minimum of five years of relevant accounting experience required. Property Management industry experienced required.
Experience/Knowledge/Abilities:
Proficient in Microsoft Office. Excellent communication skills. Strong working knowledge of customer service principles and practices, ability to perform with minimum supervision and make decisions independently. Ability to multi-task, effectively prioritize workload, meet hard and fast deadlines. Must be a team player that fosters an environment of cooperation and continuous learning. Must possess strong analytical skills. Detail-oriented with multiple tasks, information organization.
Special Requirements:
Physical demands include ability to lift to 10 lbs. Standing, sitting, walking. The employee is required to work at a personal computer for extended periods of time. Regular and predictable attendance.
