Position Summary:

 

Primarily responsible for assisting the Community Manager with the day-to-day operations of the Association by providing effective customer service, administrative support and other operational functions through in-depth knowledge of Covenants, Conditions & Restrictions (CC&R’s), governing documents and business partner contracts.

 

Position Responsibilities

 

  • Perform a wide spectrum of administrative duties that are essential to successfully enforcing community Covenants, Compliance & Regulations (CC&R’s), provides administrative support and other tasks as directed to On-site Community Manager and other on-site staff members.
  • Develop a working relationship with community board members, committee members and homeowners.
  • Extend excellent customer service and problem resolution, via phone, face-to-face, website or email to Board members, Committee members and residents within prescribed time frames.
  • Attend and record minutes of board and committee meetings.
  • Communicate with owners concerning compliance and maintenance items.
  • Provide traditional office support by maintaining calendars and appointments, composing correspondence, and creating/maintaining database information.
  • Arrange various meetings (times/locations) and prepare all correspondence necessary to notify included parties.
  • Assists with community inspections of common areas according to AAM’s management contract.
  • Develop and maintain open communication with contractors.
  • Supervise, and direct activities of gate access, landscape and general maintenance personnel under the oversight of the Community Manager.
  • Work with vendors to provide direction and collect bids per the manager.
  • Assist in the preparation and review of project proposals.
  • Perform various general accounting duties, including some A/P, A/R, coding of invoices and billing.
  • Maintain accurate and current association records including the Community Website and Boardvue site.
  • Assist in the preparation of the annual budgets.
  • Maintain deadlines for both association and governing document requirements and internal AAM initiatives.
  • Performs other duties as directed by the Community Manager.

  • Strong computer software and internet proficiency.
  • Excellent interpersonal skills: positive written and verbal communication abilities.
  • Ability to handle multiple tasks simultaneously, establish priorities and meet deadlines.
  • Exceptional organization and tracking skills.
  • Proven customer service experience, with a strong emphasis on problem resolution.
  • Ability to prepare and process high volumes of administrative and customer service tasks accurately.
  • Ability to function efficiently in a fast-paced environment.
  • Ability to interact and work positively and effectively with staff at all levels.
  • Advanced communication skills (both verbally and written), and the ability to communicate with all levels of management, staff, residents, board and committee members and contractors.
  • Ability to work collaboratively and cooperatively within the department as well as with other departments.

 

Physical Demands & Work Environment

 

  • Sitting and standing for moderate periods of time.
  • Utilizing personal automobile to inspect common areas per management contract.
