Summary Of Functions

The Assistant Community Association Manager manages and maintains the Clubhouse and Amenities; Two swimming pools, fitness center, playground area, and outdoor gym of the Community and Common Areas. The position directly assists the Community Association Manager as needed to help ensure the community meets the standards established in the associations governing documents

Major Duties And Responsibilities

Common Areas & Maintenance

  • Inspection and oversight of ongoing and special maintenance required for Clubhouse & Common Areas as well as Amenities with approval limits defined by the Board of Directors
  • Oversight of Vendors utilized to provide ongoing and special maintenance required for Clubhouse & common areas as well as the pools and sport courts with approval limits defined by the Board of Directors
  • Perform weekly inspections of community and common areas for compliance issues and maintenance needs.
  • Direct oversight and handling of community message board ensure data is up to date.
  • Direct oversight of Vendors who provide regular contractual maintenance to the common areas of the community as required
  • Direct oversight of Vendors hired by the Association to provide maintenance to the common areas of the community, as required.

Administration

  • Answer Phones, route calls, take and distribute accurate messages
  • Process Architectural Review Requests with Residents and submit to ARB Committee
  • Processing key fobs for access control to Amenity facilities.
  • Assist Residents with Association Business
  • Process work orders, as needed
  • Website Administration – Update documents and maintain calendar
  • Attend and prepare the Association meeting minutes from any Board of Directors or Membership Meetings.
  • Attend and prepare the Association meeting minutes from any Architectural Review Committee and Covenant Enforcement Committee meetings.
  • Coordinate Sign in for Membership Meetings and Assist Manager in facilitation of meetings
  • Setup of Meeting Room for all meetings held at facility.
  • Participate in and provide assistance and oversight of resident communications such as Bi-Weekly newsletters, email blasts, display boards etc.
  • Provide weekly open and closed work order reports to the Community Association Manager

Secondary Responsibility

  • Receive and welcome all residents and guests to the community by providing excellent customer service.
  • Maintain a flexible schedule being available after hours for meetings and emergencies
  • Serve as a backup to the Community Association Manager as required
  • Any additional duties assigned by the Community Association Manager

Job Requirements

Maintain a current Florida Driver’s License & obtain a Community Association Manager License within one year of employment.

Organizational Relationships

Reports directly to the Community Association Manager.

Requirements

Skills

  • Proficient in MS Office Applications such as Word, Excel, among others
  • Proficient in Florida Statutes 617 and 720 and other applicable state and federal laws pertaining to Homeowners Associations
  • Caliber or other Management Software experience
  • Software applications used for gate access, event management etc. by the Association from time to time
  • Proficient in MailChimp, Canva and Zoom Applications

Must become a Florida LCAM within one year of employment

Must have Highschool Diploma or Equivalent
