ARCHITECTURAL REVIEW COORDINATOR (ARC)

 

 

POSITION PURPOSE

 

To provide expertise and administrative assistance to ARC Boards to assist them in reviewing applications for new construction, additions, landscape plans and any change in the external appearance submitted by property owners as well as changes in Common Property requested by Boards of Directors.

Responsibilities and Duties

 

Responsibilities with Owners

· Reviewing application for completeness and accuracy prior to submission to ARC Board.

· Advising owner if, in the Coordinator’s opinion, the application does not conform to the ARC guidelines for that community. Collecting application fees and performance deposits.

· Communicating status of applications with owners and informing them of approval or denial.

· Communicating to owners required changes and/or reasons for denial.

· Inspect properties to insure conformance with approved plans.

· Tracks performance bonds in system and refunds deposits as appropriate. Coordinates with Client Accounting to insure accurate management of funds.

 

Responsibilities with the ARC Boards

· Prepare agendas and distribute with prior meeting minutes to ARC members prior to meeting

· Insure applications are complete with required drawings, color samples etc

· Attend Board meetings, presents applications.

· Discuss technical points if required.

· Following approval, send stamped plans to owner/builder for transmission to county building department for permits.

· Be familiar with each association’s ARC guidelines and advise Boards if applications conform.

· Prepare minutes of Board decisions

· The ARC Board approves or disapproves applications, not the ARC Coordinator

· Inform Building department when project successfully completed.

· Maintains status and completion of projects

 

Responsibilities with Contactors and Builders:

· Review plans prior to approval

· Recommend changes to conform to association guidelines.

· Work with contractors as necessary through the approval process.

· Review plans builder brings in for stamping to be certain they are the same as the plans the ARC approved.

· Review work at competition to insure conformance with approved plans

 

 

SCOPE

Incumbent draws upon a wide rang of technical and practical experience to manage applications in an accurate and timely manner. Incumbent is required to maintain a close working relationship with the ARC board members, contractors and owners. Incumbent works with little direct supervision, is expected to prioritize, use common sense and keep the needs of the clients top of mind. Failure to perform at professional levels may result in projects not conforming to association guidelines and covenants resulting in financial loss and adversely affecting the reputation of MAY Management.

 

 

 

KNOWLEDGE, SKILLS AND ABILITIES

 

  • Formal education
  • Ideally a college degree

 

  • Technical knowledge
  • Able to read and understand architectural drawings, plot plans.
  • Knowledge of landscaping plans and materials.

 

  • Association knowledge
  • Familiar with each association’s ARC guidelines, covenants and rules.
  • Know names of ARC board members, committee chairs and key personnel for each association.
  • Familiar with main Board’s community standards
