Job Description

The AOC Specialist serves as an in-office support for the project managers and Associa On Call field services department. This position will support the administration, recording, and distribution of field services work orders. The Specialist is responsible for maintaining records of Request for Proposal’s (RFPs), project analysis’s, notices, client communication, and etc.

Job Duties And Responsibilities

Duties include but not limited to the support of:

  • Receive, record and redistribute all RFP’s.
  • Be the first point department contact for projects.
  • Draft project notices.
  • Elevate the client experience by executing a consistent and thoughtful customer service approach for internal and external partners.
  • Administrative support of Contract Services/Bulk Contract Renewals
  • Administrative support to Director and project managers as needed.
  • Ability to learn and navigate internal software systems.
  • Other duties as assigned.

Knowledge And Skills

  • Knowledge of Microsoft Office products (Word, Excel, Outlook, Etc) at a proficient level.
  • Professional communication skills (phone, interpersonal, written, verbal, etc.).
  • Professional customer service skills.
  • Knowledge of typical business correspondence (grammar, structure, punctuation, spelling, etc.) at a proficient level.
  • Interpretation and completion of verbal and/or written instructions at a proficient level.
  • Knowledge of general office equipment (copies, scan, fax, phone systems, etc.).
  • Knowledge of company policies, procedures and forms.
  • Time management and time critical prioritization skills.

Requirements

Education and Experience

  • Customer service experience preferred.
  • Administrative support experience preferred.
  • Project oversight experience preferred.
  • Record keeping experience preferred.
  • Bookkeeping experience preferred.
  • 0-3 years of directly related or closely related experience.

Travel Requirements

  • Vehicle access - may need to perform client property visits.
