Job Responsibilities
The Administrative Assistant at Wolf Ranch in Georgetown provides support/services to the General Manager and Lifestyle Director for a large single family community. This role provides support in the overall operation of the association to which they are dedicated and delivers exceptional customer service to owners, tenants, vendors, the Board and other guests of the associations.
Essential Duties & Responsibilities

- Ability to work flexible hours including some weekends.
- Check and sort incoming mail for distribution daily.
- Receive and respond to all resident calls; redirect as appropriate
- Assist in programming access devices and maintaining database.
- Return calls and emails throughout the day, as quickly and efficiently as possible
- Prepare reports, meeting packets, and information for review at board meetings, at the direction of the General Manager
- Administer owner communication via mass emails twice per month, or as requested by the General Manager.
- Facilitate rentals of community spaces and maintain schedule and contracts.
- Respond to all incoming inquiries from vendors including proposal requests, insurance updates, and invoice questions.
- Assist with violation and final inspections as requested by the General Manager.
- Assist with coordination of lifestyle programming as directed by the Lifestyle Manager.
Additional Duties & Responsibilities
- Practice and adhere to FirstService Residential Global Service Standards.
- Conduct business at all times with the highest standards of personal, professional and ethical conduct.
- May participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines.
- Ensure all safety precautions are followed while performing the work.
- Follow all policies and Standard Operating Procedures as instructed by Management.
- Perform any range of special projects, tasks and other related duties as assigned.

Education & Experience
High School Diploma or Post-secondary education in business, computers, or office management is preferred.
