As the first point of contact for our clients and visitors, you will play a crucial role in creating a welcoming atmosphere and ensuring smooth operations in our office.

Schedule: Monday – Friday, 8:30 am to 5 pm. Onsite 5x a week.
Primary Responsibilities
Act as the main point of contact for incoming calls, maintenance issues, homeowner requests, and inquiries.
Welcome visitors warmly and aid as needed.
Receive and distribute mail, including scanning and forwarding documents.
Maintain community websites and update information as needed.
Respond to emails and software requests within 24 business hours.
Manage client/association information and files using company software.
Assist with scheduling Zoom meetings and coordinating internal FedEx requests.
Provide backup support for Community Managers during absences.
Handle various mailings for the Association, including election mailings and community notices.
Coordinate with cleaning staff to ensure office areas are clean.
Assist with ordering office supplies and managing inventory.
Train and mentor employees on office procedures and software systems.
Scan all checks received in the office and process them accordingly.
Make AR adjustments as needed in companies' software and assist managers and homeowners with AR issues.
Scan bank statements to corporate accounts and handle other financial tasks as assigned.
Process collection letters and chargeback legal fees to owner accounts in company’s software.

Requirements
Strong customer service skills with a proactive attitude.
Ability to prioritize tasks and multitask effectively.
Proficiency in MS Office (2021 or later), particularly Excel and Word. Must adapt to management software utilized by CPM.
Excellent written and verbal communication skills.
Ability to interpret and follow verbal and written instructions.
Demonstrated ability to maintain confidentiality and exercise discretion.
Ability to work both independently and in a team environment.
