Job Description

Position Overview

An Administrative Supervisor has the scope and authority to direct operations and staff to research and resolve any client issues, and work in the pursuit of excellence, creating a positive and productive environment for all stakeholders. They are responsible for administrative operations and supervision of their team to include training, supervising and evaluating staff and office operations. Continuous feedback is important and should be given to employees when they are not performing well. When customer service skills are lacking for a certain topic, the Supervisor may arrange for all the employees to have extra training classes, which may be administered by someone else or directly by the supervisor.

The Administrative Supervisor will support clients and the team on a consistent basis, as well as identify and implement processes and systems for both on-going and special initiatives.

Core Duties and Responsibilities:

  • Supervise Assistant Community Managers and Receptionist
  • Mentor employees, set goals, and develop performance
  • Monitor performance of support staff and front desk operations
  • Resolves any client escalations and customer service tickets from home office
  • Oversees cross functional work areas targeted to resolve issues raised by customers
  • Manage and coordinate administrative support services; mail distribution, record management, and other office support services.
  • Provide primary contact for homeowners and residents via phone calls, voice mails, email, faxes, and walk-ins.
  • Handles new client utility setup and transition
  • Revenue Generating: Maintains and renew client state registrations: DORA and SoS
  • Reputation Management: Triage customer service escalations from BBB, social media, and Home Office
  • Oversees several company and customer annual audit procedures
  • Periodically heads special projects

Requirements

Knowledge and Skills

  • Knowledge of Microsoft Office products (Word, Excel, Outlook, etc.) at a proficient level.
  • Knowledge of typical business correspondence (grammar, structure, punctuation, spelling, etc.) at an expert level.
  • Knowledge of company policies, procedures and forms at an expert level.
  • Knowledge of conflict resolution techniques at an expert level.
  • Professional communication skills (phone, interpersonal, written, verbal, etc.).
  • Project management at a proficient level.
  • Self-motivated, proactive, detail oriented and a team player.
  • Time management and time critical prioritization skills.
  • Ability to travel to Lakewood, CO office on a weekly basis.

Education and Experience

  • High School Diploma or GED Required
  • Associates Degree Required
  • Bachelor's Degree Preferred
  • 5 -- 7 years of directly related or closely related experience Required
  • 3 -- 5 years of Community Association experience Preferred

Compensation

  • $51,000-54,000 annually; direct experience highly considered
