Administrative Assistant. Requires excellent customer service and computer skills.
Essential Duties and Responsibilities:
- Respond to all voice mail messages and emails within 24 hours.
 - Handle telephone calls maintaining a high level of customer service
 - Report emergencies to manager immediately
 - Contact vendors for services &/or supplies as needed.
 - Utilize "Vantaca" for all aspects of community management
 - Assist manager with timely preparation of board meeting packets.
 - Track annual report filings,elevator certs, pool permits, etc.
 - Process sales/rental applications, gate entry systems, etc
 - Prepare violation letters in a timely manner
 - Process/scan invoices to Accounts Payable on schedule
 - Filing association records. Purge and box files annually
 - Special projects and or other miscellaneous duties that may arise from time to time
 
- Excellent verbal & written communication skills, including ability to effectively communicate with coworkers, board members, vendors and owners/residents
 - High level of computer proficiency in MS Office and ability to learn RPM's management programs
 - Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices
 - High school diploma or GED required
 
- Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service
 - Ability to safely and successfully perform the essential job functions consistent with RPM's internal procedures and policies as well as all related employee handbooks and training/safety manuals.
 - Maintain regular, punctual attendance consistent with RPM policies & practices.
 - Must be able to lift and carry up to 20 pounds
 - Must be able to talk, listen and speak clearly on telephone
