The Administrative Assistant will maintain a high degree of customer service in all resident inquiries and interactions; answer a high volume of phone calls and emails, and provide general information or re-direction to appropriate departments; all while learning and growing their administrative, communications, and customer service skills.

About The Community

Grayhawk is an upscale master-planned community located on 1,615 acres in the high Sonoran Desert. Dwellings include single family, condominiums, townhomes, villas, and a luxury life-care retirement with an assisted living section. Grayhawk features two distinctive yet interconnected neighborhoods – The Park and the Retreat Village, consisting of almost 3,800 residential units. The Park is made up of family-friendly neighborhoods with pocket parks, greenbelts, playground areas, and Ramada. The Retreat Village consists of two guard- gated communities, which include six tennis courts and seven individual neighborhood swimming pools and spas for use by Retreat Village residents. Other amenities include over 30 miles of multi-use trails; a two City of Scottsdale neighborhood parks; public and private schools; Boys and Girls Club campus; two 18-hole world-class championship golf courses; retail shopping and dining; commercial and office developments; and a medical campus which includes a 184-bed hospital.

What You’ll Accomplish

  • Provide office assistance, owner support and other clerical needs using a variety of office equipment, software, and tools
  • Responsible for ensuring that all callers and visitors are greeted in a friendly and informative manner
  • Owner move-in and scheduling of gate software and devices
  • Open, log in, and appropriately disseminate all incoming mail and deliveries
  • Coordinate various owner correspondence
  • Inventory, maintain and order office supplies

What We’re Looking For

  • Professional and adaptable, demonstrate good time management and organizational skills and have demonstrated an ability to maintain the confidentiality of business matters
  • Self-motivated, dependable, organized, and efficient with excellent problem-solving skills
  • Computer skills that include a strong working knowledge of MS Office programs such as Outlook, Word and Excel
  • Able to communicate effectively orally and in writing, and have high attention to detail
  • Have excellent telephone manner, with a commitment to the highest customer service possible

Important To Know

Candidates must be able to sit or stand for extended periods and attend community events as required. Must have a valid driver’s license in the state of employment and must have reliable means of transportation as a personal vehicle may be required to perform certain responsibilities. Must be available to work a flexible schedule to meet the needs of the site as determined by the Community Manager, including possible evenings and weekends.
