The Administrative Assistant will maintain a high degree of customer service in all resident inquiries and interactions; answer a high volume of phone calls and emails, and provide general information or re-direction to appropriate departments; all while learning and growing their administrative, communications, and customer service skills.
What You’ll Accomplish
- Customer service contact for the Operations Team
- Assist in maintaining the organization of Operations projects and in monitoring the status of ongoing projects throughout the community
- Assist in preparing Requests for Proposals related to community projects
- Organize and prepare documents for presentation
- Update and organize Master and Village Operations files
- Manage incoming invoices, submit and track outgoing invoices
- Assist Operations Tam with minor field tasks
- Participate in and document informal meetings with Villages, their Boards and Representatives
- Assist with reception area coverage
- Assist Community Manager and Director of Operations with miscellaneous requests, projects and communications

- Professional and adaptable, demonstrate good time management and organizational skills and have demonstrated an ability to maintain the confidentiality of business matters
- Self-motivated, dependable, organized, and efficient with excellent problem-solving skills
- Computer skills that include a strong working knowledge of MS Office programs such as Outlook, Word and Excel
- Able to communicate effectively orally and in writing, and have high attention to detail
- Have excellent telephone manner, with a commitment to the highest customer service possible

Important To Know
Candidates must be able to sit or stand for extended periods and attend and community events as required. Must have a valid driver’s license in the state of employment and must have reliable means of transportation as a personal vehicle may be required to perform certain responsibilities. Must be available to work a flexible schedule to meet the needs of the site as determined by the Community Manager, including possible evenings and weekends.
