Job Description

The Administrative Assistant (Bilingual) will provide administrative support to community homeowners, residents, members of the Board of Directors, Committee members and fellow association co-workers. Fluency in English and Spanish is required.

Daily responsibilities:

  • Monitor front office.
  • Meet and greet homeowners, visitors, vendors and contractors.
  • Research and respond to inquires via in-person, over the phone or by email.
  • Create, mail and email correspondence to homeowners, board of directors and committee members.
  • Data enter homeowner information in the database and update as needed.
  • Organize and file documents.
  • Walk and inspect the property to ensure HOA rules, regulations, and guidelines are met.
  • Send out HOA Code violation letters to homeowners.
  • Follow up with homeowners to ensure the HOA Code violation was corrected.
  • Assist homeowners and BOS with architectural review process, forms and paperwork.

Requirements

  • 2+ years of experience as an administrative assistant in an office setting.
  • Administrative experience from the HOA, leasing, apartment, hotel, hospitality industries are desired.
  • Fluent in English and Spanish are required.
  • Excellent communication skills, written and spoken, are required.
  • Friendly, outgoing, and team oriented.
  • Customer service driven, career minded, and self-managed.
  • Proactive in work habits, takes ownership and initiative of responsibilities.
