Position Summary:

 

Primarily responsible for assisting the Accounts Receivable/Payable and Homeowner Billing Departments with daily tasks.

 

Position Responsibilities

 

  • Process Remote Deposits for Accounts Receivable.
  • Creation and cancellation of Automatic Payments (ACH/SurePay).
  • Maintains and up keeps accurate data in the company data base.
  • Research/locate deeds and liens on various websites.
  • Notarization of documents.
  • Mailing/emailing of documents daily.
  • Digital recording of documents to the County Recorder’s.
  • Sort, scan and distributes mail/documents daily.
  • Data entry of various documents into company data base.
  • Creating new vendors in company data base.
  • Electronically filing documents as needed.
  • Assist Community Services (Small Claims) Supervisor as needed.
  • Creating/maintaining spreadsheets for department.
  • Scanning Invoices for Accounts Payable
  • Assists Department with special projects as needed.
  • Performs other administrative duties as directed by Department Manager.

 

Knowledge, Skills And Abilities

 

  • Ability to multitask, prepare and process large amounts of billing items while being detail oriented.
  • Ability to handle multiple tasks simultaneously, establish priorities, and meet deadlines.
  • Exceptional organization and tracking skills.
  • Ability to function efficiently in a high volume, fast-paced environment.
  • Ability to proficiently utilize computer programs and accounting database systems, including Microsoft office, internet and e-mail systems.
  • Ability to interact and work positively and effectively with staff at all levels.
  • Advanced communication skills (both verbally and written), and the ability to communicate with all levels of management and staff.
  • Ability to work collaboratively and cooperatively within the department as well as with other departments.

 

Physical Demands & Work Environment

 

  • Primarily sitting at workstation utilizing a computer in an office setting.
  • May be required to lift boxes, fill paper trays, and other minor physical office related tasks.
