Job Description

The Administrative Assistant assists the General Manger and Assistant General Manager in the day to day operations. Responsible for general correspondence, calendaring and tracking correspondence, creating spreadsheets, keep office files organized at all times, filing, copying, faxing.

Requirements

Duties include but are not limited to:

  • Mange the administrative affairs of the department including ordering supplies, handling mail and copying projects.
  • Assures exceptional customer service to all homeowners by communicating in a pleasant, friendly and professional manner at all times.
  • Ensure that there is paper in photocopy, printer and fax on a daily bases.
  • Fold, stuff and mail large homeowner information mailers.
  • File homeowners' correspondence, architectural applications and property management files appropriately.
  • Handle and log homeowner inquiries.
  • Calendar of daily, weekly, monthly meetings, correspondences and deadlines.
  • Greet residents and guests as they enter the Association Office.
  • Assist in interpreting, administering, and enforcing all rules, regulations and policies as established by Board of Directors.
  • Solicit, write and edit articles for publication in the Desert Island newsletter together with the Board of Directors and General Manager, design and type of the final draft.
  • Assist General Manager in setting up community events as needed.
  • Attend events in supporting roll as needed.
  • Report any issues or concerns residents may have to management.
  • Report any issues or repairs to GM and Chief Engineer.
  • Direct written communication to Board of Directors and the appropriate association committee via management.
  • Other duties as assigned.

Knowledge and Skills

  • Proficient in Word, Excel, Publisher.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals.
  • Able to work in a fast paced and rapidly changing environment.
  • Wage Range: $23 - $24 an hour depending on experience.
