Job Summary:

 

The Activities/Lifestyle Director will develop, organize, and program all entertainment activities for the on-site property. Must continually maintain and improve all aspects of the clubhouse-oriented social life. Reports to the Community Association Manager.

Essential Duties & Responsibilities:

 

  • Develop a plan for activities and events on a daily/weekly/monthly basis that includes, but is not limited to, dances, theme parties, holiday celebrations, movies, card games, exercise/sports programs, social activities, family events, indoor and outdoor activities, educational programs, and events/activities away from the facility.
  • Supervise all aspects of activities and events including, catering (food and beverage), decorating, promoting, operational and technical requirements (e.g., lighting and sound), staffing, etc.
  • Conduct occasional assessments to determine those activities in which the residents would be most interested in pursuing and/or participating.
  • Foster family and community support of the activity program (e.g., through newsletters, networking, activities which bring residents/families of the community into the facility and document outcome.
  • Plan special “theme” days or months around holidays, seasons, or recognized days such as Father’s or Mother’s Day.
  • Supervise the development of new and existing clubs that reflect the interests of the Community.
  • Document resident participation in group and/or individual social/recreational programs.
  • Coordinate all club meetings and use of common rooms. (i.e., Ensure they are scheduled properly, the room is accessible, and any furniture/supplies are provided.)
  • Order needed supplies (e.g., art and craft supplies, party supplies, etc.) timely. Provide all receipts to Community Association Manager with 48 hours.
  • Order and display event and show posters/signs. Use Professional signs for large events.
  • Take pictures of Community events, parties, and other special occasions.
  • Oversee the activity budget to ensure that costs are maintained within budgetary guidelines.
  • Prepare weekly report of common areas, pools, fitness center, tennis and basketball courts, playground and soccer field utilizing template. Submit to Community Association Manager.
  • Prepare and maintain financials for all activities, including but not limited to, coding of invoices, monthly event financial statements, and vendor services (utilize template).
  • Provide to Community Association Manager and FirstService Residential monthly.
  • Attend Board of Directors Meetings, providing information on past activities and events including financial report and attendance numbers. Provide a calendar of upcoming events to the Board, and present new activity/event ideas.
  • Review goals and progress notes with the Community Association Manager monthly.
  • Participate with the Community Association Manager and Treasurer in developing a budget and following the budget.
  • Prepare an activities packet that lists all activities, prices, pictures of the facility that can be used as a selling tool to residents, sponsors, and advertisers.
  • Oversee private amenity rentals ensuring paperwork is fully complete, calendar is updated and shared with the team, and area is inspected between rentals.
  • Respond to all communication by the end of the next business day.
  • Update all community boards, websites, calendars, and emails as needed.
  • Post meeting notices within required timeframes.
  • Maintain Connect Resident website with current activities or other information as needed.
  • Accept responsibility for all credit card and check payments from instructors, independent contractors, and sports programs, ensuring that the invoices submitted are correct and detailed.

 

Additional Duties & Responsibilities:

 

Other duties as assigned by Community Association Manager.

 

Supervisory Responsibilities:

 

Interview, hire, train, and supervise recreational staff. Process payroll through ADP.

 

Education & Experience:

 

Minimum of 3+ years or related work experience as an Activities or Social Director required.

 

Knowledge, Skills, & Proficiencies:

 

  • Must have strong entertainment planning background.
  • Solid computer skills.
  • Able to work with vendors and crews on organizing events in a timely manner.
  • Strong administrative background.
  • Excellent working knowledge of customer service principles and practices.
  • Outstanding interpersonal, office management and communication skills, as well as a self-starter and multi-tasker.
  • Critical thinking, complex problem solving, judgment and decision making.
  • Exercise all duties and tasks in a cheerful and friendly manner as well as be a team player, together with office staff and residents to achieve all events successfully.
  • Ability to work independently and be self-driven, with ability to identify, plan and prioritize business opportunities.

 

Tools & Equipment Used:

 

The associate is required to work at a personal computer for extended periods of time as well as talking on the phone for extended periods of time.

  • Ability to work extended/flexible hours, weekends and holidays based on community needs.
  • Ability to lift up to 50 lbs. following appropriate safety procedures
  • Work in an upright standing position for long periods of time; be able to reach overhead; have full range of mobility in upper and lower body
  • Be able to work in various positions, including, but not limited to stooping, standing, bending
  • over, sitting, kneeling, and squatting for extended periods of time, climbing stairs, navigating the property/building quickly and easily as required to meet the job functions
  • Ability to work in different environmental working conditions (e.g., heat, cold, wind, rain,
  • humidity)
  • Repeat various motions with the wrists, hands, and fingers
  • Maintain a valid Florida driver’s license

 

Travel:

 

Driving when necessary.
